Marking the Roll

Click the 'Mark Roll' link against the subject class for which you will mark the roll. 

Any class for which you have already marked the roll will display the ‘Edit Roll' link.

Any class for which you are not required to mark the roll will display the 'View Roll' link.

Class Rollcall Screen

The 'Class Rollcall' screen will display a grid with all the students belonging to the selected class and their photo.

If a student has been timetabled to have two subjects during the one period, the marking of the class rollcall will occur for the teacher who is teaching the subject with the lowest 'Timetable Override Priority' value in TASS.web program Student Admin > Student Records > Setup Information > Student Records Setup on the 'Subjects' tab. ('Timetable Override Priority' is also available for bulk updating across multiple subject records, in TASS.web program Student Admin > Student Records > Setup Information > Subject Grid).

The teacher who is teaching the subject with the higher 'Timetable Override Priority' value, will not be able to mark the roll for this student. Details of the other subject class that the student is taking will be displayed and a 'magnifying glass' icon with a hover over: 'Student is timetabled to another class for this lesson and therefore is not required to attend this Class for this lesson'.

If a student has a special subject, that does not run for the entire timetable calendar, a date range can be entered using TASS.web program Student Admin > Student Records > Student Information > Students on the 'Subjects' tab. The Class Rollcall program will only display the student in the subject class during this date range. (The subject date range is also available for bulk updating across multiple records using TASS.web program Student Admin > Student Records > Student Classes > Student Subject Grid Entry. You will need to select the applicable timetable before building the student subject grid).

The teacher who is teaching this subject will see a 'plus symbol' icon for this student with hover over: 'Student is in this class from DD/MM/YYYY to DD/MM/YYYY'.

This icon indicates that there are 'Medical Alerts' recorded against this student's record.

This icon indicates that there are 'Special Conditions' recorded against this student's record.

This icon indicates that this student is a Boarder.

This icon is only visible in Staff Kiosk program Rollcall > Class Rollcall.

This icon indicates that this student has Curricular Activities that are due today.

This icon is only visible in Staff Kiosk program Student Profile.

This icon indicates that this student has a 'sick-bay' record for the current day.

This icon indicates that a 'Pastoral Care Entry' has been entered against this student for the current day.

This icon indicates that a 'Standard Note' has been entered against this student for the current day.

This icon indicates that a 'Confidential Note' has been entered against this student for the current day.

This icon indicates that the Student has a Learning Support notification that requires attention.

This icon indicates that this student was absent from the previous lesson.

This icon is only visible in Staff Kiosk program Rollcall > Class Rollcall.

This icon indicates that the student has a teacher assigned a calendar event that clashes with this lesson.

This icon will be displayed where a student has an existing attendance record for the date of the custom rollcall.

This icon is only visible in Staff Kiosk program Rollcall > Custom Rolls.

This icon will be displayed where a student has been added to a custom roll at the time of custom roll marking.

This green ‘check-circle' icon indicates that a student has 'Checked In’ via the Student Check In / Out portal. 

This icon is only visible in Staff Kiosk program Rollcall > Class Rollcall when the ‘Student Check In / Out' portal is enabled.

This grey ‘check-circle' icon indicates that a student has 'Checked Out’ via the Student Check In / Out portal.

Buttons and icons that require further explanation

Use these buttons in the top right corner of the screen to toggle between a grid view and a list view of students.

The list view would be used when marking the roll on an iPad or other Android device.

This button will become visible at the top of the screen if there is an Activity(s) due for this subject class on this day. You can drill-down to the Activity Assessment screen.

Use the 'hamburger menu' icon to send correspondence to this student or enter a Pastoral Care Entry.

The eDiary will show you if there is any other event occurring for this student, such as a music lesson.

  • View the student's current whereabouts, e.g. class, sickbay or absent.

  • Generate an email to the student or parent.  Click here for more information about Generating Emails

  • Send an SMS to the student or parent.

  • Display a Notification in:

    • Student Café or Parent Lounge.

    • Your school's mobile app via a Push Notification (parents only).

To use Push Notifications, the school must hold a 'Mobile App' API licence and deploy a mobile app through a TASS Integration Partner.

All communication (email, notification and SMS) generated from Staff Kiosk is recorded in a Communication Log.

All communications (emails, notifications and SMS) generated from Staff Kiosk are recorded in a Communication Log.

The Communication Log allows you to track and monitor the details of communications including who it has been sent to and whether the communication has been viewed by the recipients.

The Communication Log for a student can be viewed using the Staff Kiosk program Student Profile > Communication Log.

Each student's 'Attendance Rate' for this subject will be displayed.

Hover over the 'Attendance Rate' to view the number of classes that have been attended.

You can also click on the hyperlinked 'Student Name' to access the 'Student Profile' page.

Quick Absence Entry

Select an 'Absence Type' from the drop-down list for each student who is absent.

Click the 'Save' or 'Save and Logout' buttons.

If you attempt to mark a student as absent where there is a conflicting absentee record, the program will display the following message when the rollcall is saved. An email will be sent to the school's Attendance contact containing a link that when clicked will automatically redirect the user to the student's absence record in TASS.web.

The attendance contact email is set up in TASS.web program Student Admin > Attendance > Setup Information > Attendance Setup on the 'Contact Info' tab.

Detailed Absence Entry

To enter a more detailed absentee record select an 'Absence Type' from the drop-down menu for each student who is absent and then select the 'Pencil' icon 

Parent Contact Details

Click the 'phone' icon to display a list of the student's parents and phone numbers.

The parent contact information displayed is determined by the 'Communication Rules' set up on the student records.

'Communication Rules' provide a 'student-centric' way of defining precisely how different areas of your school communicate with parents. They are especially useful for communication with split families and for families with students who have multiple parenting arrangements.

Administrator Note

Staff Kiosk uses the following rules that are set up on each student record in TASS.web:

TK View

The Parent/Caregiver addresses that teachers will see when using Staff Kiosk.

TK Correspondence

The Parent/Caregiver addresses that will be used when teachers generate correspondence to parents using Staff Kiosk.

Emergency Contact

The Parents/Caregivers who will be displayed as Emergency Contacts when accessing student medical information using Staff Kiosk.

A Parent/Caregiver must have the 'TK View' rule to be displayed as an Emergency Contact.

A warning will be displayed if there are no 'Communication Rules' set up on the student record in TASS.web. You should advise your TASS System Administrator.

Type of Absence

The 'Type of Absences' will display the type chosen on the 'Class Rollcall' screen and will not be editable.

Reason

The 'Reasons' available in the dropdown menu have been predetermined by your school in TASS.web program Student Admin > Attendance > Setup Information > Attendance Setup on the 'Absentee Reasons' tab.

Time Arrived

Departure Time

This field becomes mandatory if you have selected either the 'Late for School' or 'Early Departure' absentee types.

Click the 'clock' icon to automatically insert the current time.

The period start and end time are displayed directly next to this field.

Your school will have defined absentee types to be used for 'Late Arrival' and 'Early Departure' using TASS.web program Student Admin > Attendance > Setup Information > Attendance Setup.

Under certain circumstances, your school may also have 'Absent for Morning' and 'Absent for Afternoon' absentee types.

Parent Acknowledgement

Responding 'Yes' to this will exclude this student from the absentee notification to parents process in TASS.web.

Comment

Enter up to 4000 characters of notation that relates to the absence of this student.

Select the 'Spellcheck' button to check the spelling of the text entered into the 'Comments' field.

Once the roll call has been completed select the 'Save' or 'Save and Logout' buttons to record your entry to the database.

If you attempt to mark a student as absent where there is a conflicting absentee record, the program will display the following message when the class rollcall is saved and an email will be sent to the school's Attendance contact:

The attendance contact email is set up in TASS.web program Student Admin > Attendance > Setup Information > Attendance Setup on the 'Contact Info' tab.

Saving the rollcall will change the 'status' of the teacher's rollcall to 'complete'. 

Administrators and Heads of Department can then use the ‘Attendance Rollcall Status' button in Staff Kiosk Home Page > My Timetable to check the rollcall status for all teachers.

Any absence entries made in Class Rollcall will appear in the TASS.web program Student Admin > Attendance > Student Information > Daily Inquiry. They will also display on the Staff Kiosk home page as 'Today's Absentees'.
