Teacher Records (TER)

Overview

This module provides a place to set up and maintain database information for your teachers.

Teacher records entered through this program must be linked through to employee or payroll records. The linking is done by entering the employee code onto the teacher record.

Thereafter an address change recorded on the employee record will automatically be reflected on the teacher record.

Teachers are provided licences to Staff Kiosk (also known as Teacher Kiosk) from their teacher record. A utility to provide licences in bulk and create random passwords is also available.

Teacher records contain 25 user-definable fields that can be entered and maintained through this module. 

A 'grid' style data maintenance tool is also available to facilitate rapid review and editing of the general record and the teacher UD fields.

A notes facility allows the categorisation of notes and the attachment of electronic documents (such as Word® or PDF documents). As an example, newspaper articles that are published relating to an employee could be scanned and attached to the employee record.

Teacher subjects can be maintained from the teacher record. Teacher subjects can also be uploaded via a timetable upload facility in the Timetable module.

Teacher Records has a Teacher Leave and Substitution system. This system provides the following functionality:   

  • Recording un-available periods for a teacher.

  • Recording of leave for a teacher.

  • Allocation of substitute teachers, based on teacher availability, competencies, load and prior substitutions.

  • Recording of substitutions carried out by teachers.

  • Communication of substitute classes via SMS and email.

  • Communication of class tasks to the substitute teacher and facility for a substitute teacher to provide feedback.

  • Automatic updating of timetables in TASS.web and the TASS portals for teachers and students based on substitutions.

Teacher Records also has a Parent Teacher Interview system. This system provides the following functionality:

  • Creation of PTI conferences.

  • Generation of conference schedules.

  • Collecting of online interview requests through the Parent Lounge portal.

  • Processing of interview requests.

  • Displaying of interview requests to teachers through the Staff Kiosk portal.
