What user permissions and access levels are required for Staff Kiosk Assessment?

Multiple roles are involved in the Academic Reporting process. Certain steps can only be completed by users who have been assigned specific roles and access levels. It is essential to consider each of these roles when determining who will be responsible for each task so that the appropriate user permissions and access levels can be applied in TASS.web.

User permissions will vary based on the Markbook Configuration your school is operating in (e.g., Progressive Assessment or Final Assessment). 

This article provides an example of the ‘general’ user permissions and access levels required for staff to use the Staff Kiosk Assessment. Since each school has different requirements, some access may not be necessary, or alternatively, other permissions may be added for staff to complete tasks according to your school's Academic Reporting guidelines.

Teacher

This is the minimum level of Reporting User Access that Teachers need to use Staff Kiosk Assessment.

Portal Security Permissions determine the menu paths that users have access to in Staff Kiosk.  These may differ based on the Markbook Configuration that your school is using and your School’s Academic Reporting guidelines.  These Portal Security Permissions are assigned in TASS.web program System Admin > Users > Portal Security Permissions forTeacher Kiosk’. 

Examples of Assessment permissions for Teachers working in a Progressive Assessment configuration:

  • To ‘create’ and ‘assign’ Activities:

    • Learning Objects (Maintain & Assign)

  • To ‘view’, ‘maintain’ and ‘assess’ existing Activities:

    • My Classes

    • Activity Planner

    • Activity Assessment – Responsible

      • --- Activity Assessment

      • --- Edit Activities (optional)

  • To ‘enter results and comments’:

    • Markbook

    • Enter Results and Comments

  • To generate ‘Listings’:

    • Listings > Academic Results / Comments

Examples of Assessment permissions for Teachers working in a Final Assessment configuration:

  • To ‘enter results and comments’:

    • 'Enter Results and Comments’

Reporting User Access will also need to be assigned to each Subject Class Teachers in TASS.web System Admin > Users > Reporting User Maintenance or TASS.web Student Admin > Academic Reporting > Setup Information > Reporting User Maintenance.  Subject Class Teachers need to be assigned access to the ‘Academic Reporting Period’ and also allocated the User Access Level of ‘Teacher Class Access’.

Users who are assigned to ‘Teacher Class Access’:

  • Can access the ‘Search Final Assessment' button on the Markbook [Subject Class] Selection Screen and will be able to perform searches on only the subjects and students that he/she teaches within the selected Reporting Period.

  • Cannot access the 'Teacher Selector' on the Markbook [Subject Class] Selection Screen

  • Can only access the Reporting Period when the ‘IA Lock' is set to ‘Teacher Class Access’ in TASS.web program Student Admin > Academic Reporting > Setup Information > Assessment Setup on the ‘Result Period’ tab.

Head of Department (HOD) or Department Administrator

‘Heads of Department (HODs) or Department Administrators’ can access Assessment data for all Subject Classes and Teachers belonging to their Department(s) within their assigned Academic Reporting Periods.

HODs and Department Administrators:

  • Can create and assign Activities for multiple classes in a Year Level Subject (for example, Year 11 English, classes A, B and C) in Staff Kiosk Assessment > Learning Objects (Maintain and Assign).  

  • Have access to the ‘Include all subject classes’ checkbox in Staff Kiosk Assessment > Markbook > Activity Assessment, and can apply calculation rules and calculate results for all Year Level Subject Classes at the same time.

  • Can modify 'Final Result Weightings’ for 'Overall Subject Grade' calculations in Staff Kiosk Assessment > Markbook > Activity Assessment, when the appropriate Markbook Options are enabled in Staff Kiosk Assessment > Parameters (Setup).

These roles are assigned in TASS.web Student Admin > Student Records > Setup Information > Student Records Setup on the ‘Subject Depts.’ Tab.

HODs and Department Administrators will generally require the same Portal Security Permissions as ‘Subject Class Teachers’.  Additional permissions may also be allocated according to your School’s Academic Reporting guidelines and processes.

Examples of additional Assessment permissions for a HOD or Department Administrator working in a Progressive Assessment configuration:

  • To ‘create’ and ‘assign’ Activities (when Subject Class Teachers don’t have permission)

    • Learning Objects (Maintain & Assign)

  • To ‘view’, ‘maintain’ and ‘assess’ existing Activities:

    • Activity Assessment – All

      • --- Activity Assessment

      • --- Edit Activities

  • To ‘create’ and ‘modify’ Calculation Rules:

    • Calculation Rules

  • To generate ‘Listings’:

    • Listings > Class List/Emails

    • Listings > Assessment Activity Results

    • Listings > Academic Comparative Results – Student

    • Listings > Academic Results - Student Profile

    • Listings > Academic Results Analysis – Student

Examples of additional Assessment permissions for a HOD or Department Administrator working in a Final Assessment configuration:

  • To ‘Calculate Results’ for Overall Subject Grades:

    • Markbook

Portal Security Permissions are assigned in TASS.web program System Admin > Users > Portal Security Permissions forTeacher Kiosk’. 

Reporting User Access must be assigned to each HOD or Department Administrator in TASS.web System Admin > Users > Reporting User Maintenance or TASS.web Student Admin > Academic Reporting > Setup Information > Reporting User Maintenance.  HODs or Department Administrators need to be assigned access to the ‘Academic Reporting Period’ and also allocated the User Access Level of ‘Restricted Supervisor Access’ or ‘Unrestricted Supervisor Access’.  For more information on these access levels refer to the information below. 

HODs and Department Administrators may also need to be assigned to the role of Central Repository Coordinator for the Subject Area(s) that they are responsible for.  For more information about this role, refer to the information below. 

Central Repository Co-ordinator

Central Repository Coordinators are responsible for overseeing the management of Learning Objects (Activities, Resources, Online Tests and Questions) for their designated Subject Area stored in the Central Repository of Staff Kiosk Assessment program Learning Objects (Maintain and Assign). Each Subject Area in the school's Central Repository can be allocated a coordinator. 

Central Repository Coordinators have additional access to the ‘Edit’, ‘Delete’, ’Transfer Object’ and ‘Move to Archive’ actions for Learning Objects filed in the Central Repository for their designated Subject Area.

This role is generally only required for schools working in a Progressive Assessment configuration and is optional for Final Assessment configurations.

This role is assigned in TASS.web program Student Admin > Student Records > Setup Information > Student Records Setup on the ‘Subject Areas’ tab. 

At a minimum, this role will require the same Portal Security Permissions as ‘Subject Class Teachers’.  Additional permissions may be allocated according to your School’s Academic Reporting guidelines and processes.

Examples of additional Assessment permissions for Central Repository Co-ordinators working in a Progressive Assessment configuration:

  • To maintain ‘Topics’ in the Central Repository:

    • Topics (Maintain)

  • To maintain ‘Learning Objects’ in the Central Repository:

    • Learning Objects (Maintain & Assign)

    • Learning Objects (Transfer/Delete).

Learning Object Owner

When a new Learning Object (Activity, Resource, Online Test or Question) is created, the person who creates it automatically becomes the owner of that Learning Object.

The person who owns a Learning Object has additional access to functions that standard users do not, including ‘Edit’, ‘Delete’, ’Transfer Object’, and ‘Move to Archive'.

This is something that needs to be considered when determining who is responsible for creating Learning Objects at your school. 

To see who owns a Learning Object, refer to the 'Owner' field on the 'Learning Objects' screen in Staff Kiosk Assessment > Learning Objects (Maintain and Assign).

Ownership of Learning Objects can be transferred using:

Restricted Supervisor Access

This is the second-highest level of Reporting User Access in Staff Kiosk Assessment above ‘Class Teacher Access’.  This role is generally for users who complete the first-level proofing after Teachers have finished results and comments.

Users assigned to ‘Restricted Supervisor Access’:

  • Can access the ‘Search Final Assessment' button on the Markbook [Subject Class] Selection Screen but can only perform searches on:

    • The subjects and students that belong to his/her department(s) within the selected Reporting Period.

    • Other subjects and students that he/she teaches within the selected Reporting Period.

  • Can access the 'Teacher Selector' on the Markbook [Subject Class] Selection Screen with the ability to:

    • Select Teachers who take subjects in his/her department(s) within a selected Reporting Period.

    • Access the subjects (for the selected teacher) that belong to their department(s).

    • Access the Reporting Period when the ‘IA Lock' is set to 'Restricted Supervisor Access’ or ‘Teacher Class Access’ in TASS.web program Student Admin > Academic Reporting > Setup Information > Assessment Setup on the ‘Result Period’ tab.

Teacher Departments are assigned in TASS.web program Student Admin > Teacher Records > Teacher Information > Teachers > on the ‘General' tab within the ‘Teacher Departments’ field.

Subject Departments are assigned in TASS.web program Student Admin > Student Records > Setup Information > Student Records Setup on the ‘Subjects’ tab.

‘Restricted Supervisor Access’ is assigned in TASS.web System Admin > Users > Reporting User Maintenance or TASS.web Student Admin > Academic Reporting > Setup Information > Reporting User Maintenance

Unrestricted Supervisors Access

This is the highest level of reporting user access in Staff Kiosk Assessment. This role is generally for users who complete the final proofing stage or entry of the Form/Tutor Group comment.

Users assigned to ‘Unrestricted Supervisor Access’:

  • Can access the ‘Search Final Assessment' button on the Markbook [Subject Class] Selection Screen and perform searches on all subjects and students within the selected Reporting Period.

  • Can access the 'Teacher Selector' on the Markbook [Subject Class] Selection Screen and select any Teacher and his/her subjects within the selected Reporting Period.

  • Can access the Reporting Period when the ‘IA Lock' is set to ‘Unrestricted Supervisor Access’, ‘Restricted Supervisor Access’ or ‘Teacher Class Access’ in TASS.web Student Admin > Academic Reporting > Setup Information > Assessment Setup on the ‘Result Period’ tab.

‘Unrestricted Supervisor Access’ is assigned in TASS.web System Admin > Users > Reporting User Maintenance or TASS.web Student Admin > Academic Reporting > Setup Information > Reporting User Maintenance

Academic Reporting Administrator

Academic Reporting Administrators must be assigned to the appropriate User Permissions and Access Levels to set up the Academic Reporting Period, plus troubleshoot any related issues.

At a minimum, this role will require the same Portal Security Permissions as ‘Subject Class Teachers’.  Additional permissions may be allocated according to your School’s Academic Reporting guidelines and processes.
