Marking Attendance for an Extra Curricular Group (SK EC)

Users have two options for managing attendance and rolls for Extra Curricular Groups: Automatic Roll Generation and Manual Roll Creation.

Automatic Roll Generation

The automatic roll generation feature is available in the following Staff Kiosk programs:

When creating a new Session or Fixture, tick the 'Create Custom Roll' checkbox to automatically generate Custom Rolls based on your entered information.

Refer to Scheduling Extra Curricular Sessions and Fixtures for more information.

Rolls generated using this method can be viewed and marked in Staff Kiosk program Rollcall > Custom Rolls.

In the Custom Rolls program, you can also view Student eDiaries and their current timetabled session, print, generate emails, send SMS, and create notifications for Parent Lounge and mobile devices.

A 'link' icon will display next to each roll created using this method in the Staff Kiosk program Rollcall > Custom Rolls.

If the Session or Fixture is edited, deleted or cancelled, the associated Custom Roll/s will be automatically updated to reflect the change.

Rolls generated using this method can be edited via their original Session or Fixture.

Manual Roll Creation

Manual roll creation is available in the following Staff Kiosk programs:

Regardless of your chosen menu path, the user interface remains the same.

Fields that require further explanation

*Roll Description

Enter a name or description of your Custom Roll.

*Date

Enter the Date for your Custom Roll.

This field will automatically default to the current date.

*Time

Enter the Time for your Custom Roll.

This field will automatically default to the current time.

Recurring

Use this field to set your Custom Roll to recur daily, weekly or monthly.

Each recurring option has a corresponding set of fields. For example, the 'Weekly' option requires you to nominate the day(s) that the event (within a week) will repeat on.

Select 'None' if you do not wish for your Custom Roll to recur.

Roll Members

This field allows you to nominate the mode used to maintain how the Students are allocated to the Custom Roll:

Dynamic List: Choose this option to create a Custom Roll for a potentially changing group of Students. The students assigned to this Custom Roll will automatically change if they move in and out of the Extra Curricular Group.

Static List: Choose this option to create a Custom Roll for a group of Students that is not likely to change. If you use this option, the student list is static (as of when you created the Custom Roll).

Each option has a corresponding set of fields in the Search Mode section.

Search Mode and Filter Options

Select the Search Mode that you would like to use to allocate Students to this Custom Roll.

The filters available will dynamically change based on the mode selected.

You can refine your search criteria using the 'Filter By', 'Filter Value 1', 'Filter Value 2', 'Year,’ and 'Campus' fields.

When using a 'Static List', click the 'GO' button to complete the search and display the current students matching the selected filters.

Session / Fixture

This field is only available when 'Dynamic List' is selected above.

Use this field to nominate the Session or Fixture for which the Custom Roll will be used.

This field does not link the Session or Fixture to the Custom Roll. To link the Custom Roll to the Session or Fixture, use the Automatic Roll Generation feature mentioned above.

Students allocated to Custom Rolls

This field is only available when 'Static List' is selected above.

Select student name/s from the 'Choose from these Students' list and use the arrow buttons to move the selected student/s to the 'Students allocated to Custom Roll' list.

This is a multi-select field. Holding down the 'Shift' key while clicking on your options enables a range selection; holding down the 'Ctrl' key allows individual selection of additional fields.

*Owner

Select the Teacher or Non-Teacher who will own the Custom Roll.

The 'Owner' can view, edit, mark or cancel the roll in Staff Kiosk program Rollcall > Custom Rolls when the appropriate user permissions are assigned in TASS.web.

Assign Admin Rights

Search for the Teacher(s) or Non-Teacher(s) for whom you want to assign admin rights for this Custom Roll.

Type two or more characters of the Teacher's or Non-Teacher's Code, Name, or Department into the field. When the second character is entered, the matching Teachers and Non-Teachers are displayed.

Staff with 'Admin Rights' can view, edit, mark or cancel the roll in Staff Kiosk program Rollcall > Custom Rolls when the appropriate user permissions are assigned in TASS.web.

Click the 'Submit New +' button to save this Custom Roll to Staff Kiosk program Rollcall > Custom Rolls.

Click the 'Submit & Mark Roll' button to save the Custom Roll to Staff Kiosk program Rollcall > Custom Rolls and be automatically directed to the 'Custom Rollcall' marking screen.

Click the 'Cancel' button to return to the 'Extra Curricular Groups' list screen.

To view and/or mark a Manual Custom Roll, you can either:

  • Click the 'Submit & Mark Roll' button when the roll when it is created, or

  • go to Staff Kiosk program Rollcall > Custom Rolls.

In the Custom Rolls program, you can also view Student eDiaries and their current timetabled session, print, generate emails, send SMS, and create notifications for Parent Lounge and/or mobile devices.

To edit, cancel, or delete the Custom Roll, go to the Staff Kiosk program Rollcall > Custom Rolls.
