STR - Notes Tab

Overview

The Student Record 'Notes’ tab is used to store any student-related notes of a general nature.

User Security Permissions for TASS.web

To access the ‘Notes’ tab on the Student Record in TASS.web, users must have the following permission points enabled in TASS.web System Admin > Users > User Maintenance or TASS.web Student Admin > Users > Security Role Permissions:

In the ‘Student Records’ section:

  • Students

  • --- Notes tab

In the ‘Student Note Categories' section, assign the permissions you want users or user roles to have for each Note Category. For each permission point in the Note Categories, you can grant the ability to View, Add, Edit, and Delete.

A separate 'Confidential Notes' tab is available for more sensitive Student Notes in TASS.web Student Admin > Student Records > Student Information > Students. Varying user permissions or roles may need to be set up to allow certain staff to add, view, edit, or delete student confidential notes.

The Standard Student Notes from this program may also be visible in Staff Kiosk Student Search > Student Profile in the ‘Notes’ section when the user has the appropriate user permissions applied.

User Security Permissions for Staff Kiosk

To view, add and/or edit ‘Standard Notes’ on the ‘Notes’ tab of the Student Profile in Staff Kiosk, users must have the following permission points enabled in TASS.web System Admin > Users > Portal Security Permissions for Staff Kiosk:

  • Student Profile

  • Notes

  • --View Standard Notes, --Add Standard Notes, and/or --Edit Standard Notes (according to the level of access you want the user to have).

  • [Note Category] permissions (for all Note Categories that you want the user to be able to access).

The school can also categorise notes.

Student Note Categories are set up using either:

  • TASS.web Student Admin > Enrolment Records > Setup Information > Enrolments Setup on the 'Student Note Categories' tab, or

  • TASS.web Student Admin > Student Records > Setup Information > Student Records Setup on the ‘Note Cat.’ tab.

Access to view, add, edit and delete Student Notes within each Student Note Category is regulated by User Permissions Points in TASS.web Users > User Maintenanceand Security Role Permissions within the ‘Student Note Categories’ section.

'Note Categories' can be flagged for inclusion in the Communication Log to record communication, such as conversations and meetings. This can be done using TASS.web Student Records > Setup Information > Student Records Setup on the 'Note Cat.' tab.

The following student based communications are recorded in a Communication Log:

  • SMS generated in TASS.web and Staff Kiosk.

  • SMTP Emails generated in Staff Kiosk and the Enrolments module in TASS.web.

  • Notifications generated in Staff Kiosk.

  • Notes entered in TASS.web and Staff Kiosk (where the Note Category has been flagged for display in the Communication Log).

Internal teacher/non-teacher communications generated in Staff Kiosk are also recorded in a Communication Log.

The categories for Student Notes visible in the Communication Log are determined by user permissions.

The Communication Log allows you to track and monitor the details of communications including who it has been sent to and whether the communication has been viewed by the recipients.

The Communication Log for a student can be viewed using Staff Kiosk Student Profile > Communication Log.

The Communication Log for an enrolled student can be viewed using TASS.web Student Admin > Enrolments > Enrolment Information > Enrolments on the ‘Communication Log’ tab.

Student Notes Grid

The ‘Student Notes Grid’ allows you to view a summary of the standard notes related to the selected student based on your user permissions.

Note Date

This column displays the Note Date that was selected when the note was created.

Note Category

This column displays the Note Category that was selected when the note was created.

Note

This column displays the contents of the note.

An ‘attachment’ icon will appear if there is a file attached to the note. Click this icon to view the attachment.

Entered By

This column displays the User Name of the person who entered the note in the database.

Entered On

This column displays the date the note was entered into the database.

Action

The 'View', 'Edit' and 'Delete' links in the 'Action' column let you manage existing confidential notes.

Click ‘Delete’ then ‘Confirm’ to remove the confidential note from the database. You must have the appropriate permissions to perform this action.

Adding a New Note

New notes are entered using the 'Add Note' button in the top right corner of the screen.

Note Date

Enter a date in DD/MM/YYYY format or select a date by clicking the ‘Calendar’ icon and using the date picker to make your selections.

Note Category

Select a Note Category from the drop-down list.

Student Note Categories that appear in this list are set up using either:

  • TASS.web Student Admin > Enrolment Records > Setup Information > Enrolments Setup on the 'Student Note Categories' tab, or

  • TASS.web Student Admin > Student Records > Setup Information > Student Records Setup on the ‘Note Cat.’ tab.

Note Text

Enter your note text up to 4000 characters.

Attachment

Use this field to add an attachment to your note.

Click the 'Choose File' button and select the required file to attach.

Example

An example of using the notes attachment feature could be to attach a scanned copy of the parent's paper-based permission form to the note.

Scan the document, save it as a PDF on your network and then use the 'Choose File' button to find it and link it to the note.

Printing a List of Student Notes

You can use the ‘Print' button at the top of the screen to access the 'Student Listings - Student Notes’ screen and produce a PDF, Excel® or Word® file with a range of notes for the student record that you are currently accessing.

You can also select or sort this file by 'Note Category' (e.g. all 'discipline' notes for this student).

Enter your selection criteria and formatting preferences, then click the ‘GO’ button to generate your report.
