ATT - Contact Info Tab (SU)

Contact Details

Name

Use this field to store the name of the person who is the main contact for this module at your school.

Email

Use this field to store the email address of the person who is the main contact for this module at your school.

A system-generated email will be sent when a teacher attempts to mark a student as absent where there is a conflicting absentee record. The email will contain a link that, when clicked, will automatically redirect the user to the Student Attendance record. 

Phone

Use this field to store the phone number of the person who is the main contact for this module at your school.

Fax

Use this field to store the fax number of the person who is the main contact for this module at your school.

Website/URL

Use this field to store the web address of any website relating to attendance information at your school.

STATS Location Details

The following details are required by STATS (Aus) to confirm the details for your school's nominated STATS contact—a requirement for submitting STATS (Aus) Attendance Reports, e.g. Your school's 'Business Manager' or 'Approved Authority Representative'.

For more information on 'STATS', refer to program Student Admin > Student Records > Government Returns > Student Attend. - STATS (Aus).

*Contact First Name

This is a mandatory field  (Char50).

Enter the 'First Name' of your school's nominated STATS contact person.

*Contact Surname

This is a mandatory field  (Char50).

Enter the 'Surname' of your school's nominated STATS contact person.

*Contact Email

This is a mandatory field  (Char70).

Enter the contact email address for your school's nominated STATS contact.

*Contact Phone

This is a mandatory field  (Char10).

Enter a contact phone number for your school's nominated STATS contact. The phone number should include the area code and be entered without spaces. e.g. 0730207900.

Contact Position

Optional (Char50).

Enter the position that your nominated STATS contact person currently holds.

SMS Details

*Message Text

Enter the text for the SMS message. This is the actual text that the parent will see on his or her phone. The text field is limited to a maximum of *160 characters, which includes all keywords, text and spaces used.

*The text limit can be increased to 800 characters by enabling 'Multi-Part Messaging'. The payload of each multi-part message is 153 characters (rather than 160). Where messages are more than 153 characters in length, the message is split into multiple parts (i.e. 2 or more parts of 153 characters) allowing for the swift delivery of long messages. The caveat is the additional message parts will incur additional costs.

If you are not using 'Multi-Part Messaging' do not exceed the 160-character limit. Care should be taken using keywords as their dynamic lengths are not reflected in the used character total.

The keyword substitution values above are defined in Community Plus program Setup Information using the 'Genders Setup' program.

Additional gender values (to those above) may exist and be available if your school has defined them.

SMS Gateway details are maintained in program System Admin > Utilities > API Gateway Maintenance.

Communication Type for Attendance SMS

This option must be set up if your school is using 'Communication Rules'. 

Communication Rules provide a 'student-centric' way of communicating with parents. They are especially useful for communication with split families and for families with students who have multiple parenting arrangements.

For details on how to enable the Communication Rules functionality, refer to 'Setting Up Communication Rules'.

Parent mobile phone numbers are set up in program Student Admin > Parent records > Parent Information > Parents on the ‘Address' tab.

For parents to receive attendance-related SMS messages, the SMS checkbox must be ticked on the parent address record that is linked to the attendance communication rule.

You can check which address is linked to the Attendance communication rule in Student Admin > Student Records > Student Information > Students on the 'Addresses & Comm. Rules’ tab.
