Setting Up Communication Rules

Refer to the 'Setting Up Parent Addresses in TASS.web' guide. Ensure that your parent addresses adhere to the guidelines.

Review the 'How to Handle Split Family Arrangements' guide.

It is important that you understand the difference between:

  • Simple Split family.

  • Complex Split family.

TASS.web Student Admin > Parent Records > Setup Information > Parent Records Setup.

Check that a 'Person Position' and 'Person Label' have been set up for the 'Mother' and 'Father' address blocks (on the 'Addresses' tab).

TASS.web Student Admin > Past Students > Setup Information > Past Student Setup.

Check that the 'Contact Details' have been set up on the 'Past Students' tab and that the 'Email' field contains the correct address for the person at your school in charge of this area.

This becomes important when the new 'Move' function is used on the parent record, for a parent who has associated past student(s).

The 'Move' function will create an email advising the Past Students contact person that address records for the associated past student(s) need to be reviewed.

TASS.web Finance > Fundraising > Setup Information > Fundraising Setup.

Check that the 'Contact Details' have been set up on the 'Fundraising' tab and that the 'Email' field contains the correct address for the person at your school in charge of this area.

This becomes important when the new 'Move' function is used on the parent record, for a parent who is also a donor.

The 'Move' function will create an email advising the Fundraising contact person that address records for the associated donor need to be reviewed.

TASS.web Student Admin > Student Records > Setup Information > Student Records Setup.

On the 'Student Records' tab, tick the 'Enable Communications Rules' box.

After you turn this on, it is very important that you promptly complete all of the steps in this guide. 

It is particularly important that you set the Attendance 'Communication Rule' for all students because TASS.web program Student Admin > Attendance > Processing > Generate/Send SMS Notifications will not work until Steps 10, 11 and 12 are completed.

Identify all the students who have a 'Multi Parenting' arrangement at your school.

These are students who belong to a Simple Split or a Complex Split family.

Review the 'How to Handle Split Family Arrangements' guide for definitions.

TASS.web Student Admin > Parent Records > Parent Information > Parents.

Make sure that the parents from the families with Complex Split arrangements (of the students identified in Step (3) have addresses setup correctly as specified in the 'Setting Up Parent Addresses in TASS.web' guide.

TASS.web Student Admin > Student Records > Student Information > on the General Tab.

Set the 'Multi Parenting Arrangements' field on the 'General' tab to 'Yes' for all students who belong to a Simple Split or a Complex Split family.

TASS.web Student Admin > Student Records > Student Information > Communication Rules Grid.

Set the 'Communication Rules' for all students with families:

  • Nuclear (not split).

Students with the 'Multi Parenting Arrangements' flag set to 'Yes' will not be loaded in the grid.

It is best to set up the rules for all of the 'Communication Types'. However, as a minimum you have to complete:

  • Emergency Contact.

  • TASS.web Correspondence.

  • Staff Kiosk (TK) Correspondence.

  • Staff Kiosk (TK) View.

  • Attendance.

TASS.web Student Admin > Student Records > Listings > Details Listing.

Run this program with 'Include Hyperlinks' ticked to get a list of all students with a 'Multi Parenting Arrangement'.

Use the 'Multi Parenting Arrangements' flag on the 'Student' tab as a filter.

Drill-down on the student code in the report and set the 'Addresses & Communication Rules' for each student on the report.

You may need to run this report multiple times so save it as a report configuration.

Alternatively, you can set up these rules directly using TASS.web program Student Admin > Student Records > Student Information > Students.

Complex Split

Students who belong to a Complex Split family will be set up with two or more TASS Parent Records.

Simple Split

Students who belong to a Simple Split family will be set up with only one TASS Parent Record, but may still have special 'Address & Communication Rules'.

Example: Father is not to be contacted by teachers (TK View = No) but is to receive a copy of the student's academic report (Academic Reports = Yes).

TASS.web Student Admin > Attendance > Setup Information > Attendance Setup.

On the 'Contact Info' tab, select the appropriate 'Communication Type' to be used by TASS.web program Student Admin > Attendance > Processing > Generate/Send SMS Notification. In most cases, this would be the 'Attendance' Communication Type.

TASS.web Student Admin > Student Records > Listings > Communication Rules Listing.

Use this report to check all students with 'Multi Parenting Arrangements'.

  • Select all 'Communication Types' and run with the 'Include Address Details' box checked.

  • Then run this report for each 'Communication Type' with the 'Only Include Students with NO Communication Rules for the Selected Communication Types' box selected.

  •

Run this report for all students for each 'Communication Type' with the 'Only Include Students with NO Communication Rules for the Selected Communication Types' box selected.
