Leave / Other Applications

Leave/Other Applications Overview

This section of the employee profile will allow you to:

  • Submit an application for leave
  • Submit an application for other types of leave (e.g. In-service).
  • Edit and submit a 'Draft' application that has been entered on your behalf
  • View a history of all submitted applications
  • Cancel a previously submitted application.

'Other' is the default label used to describe staff absences that are not covered by Payroll 'Leave Types'. An example of an 'Other' type might be 'Inservice'. This default description can be changed using Staff Kiosk program Payroll/HR > Application Parameters (Setup). If your school has changed this description, this section of the employee profile might be called something else, e.g. My Staff Leave/Inservice Applications.

The 'Leave/Other Applications' screen will:

  • Display a list of applications with a status of 'Draft', 'Unapproved', 'Approved – not yet taken'
  • Find out who an application is currently with for approval (refer to the 'Assigned To' column).
  • Display a list of all current and non-current applications (use 'See All').
    • Current application statuses include:
      • Draft.
      • Unapproved.
      • Approved – not yet taken
      • Approved - part taken.
    • Non-current application statuses include:
      • Approved – fully taken.
      • Rejected.
      • Cancelled.

        To sort by a column from 'See All', click on the column heading. To sort by multiple columns, hold down the 'Shift' key and click the second and subsequent columns.

  • Allow you to search for a subset of applications (use 'See All').
  • Provide a drill-down to view details of an application. Click the 'magnifying glass' icon. 
  • Allow you to add an attachment to the application. Click the 'document+/attachments' icon.
  • Attachments can be added by the employee if:

    • It is an application with a status of 'Approved - not yet taken'.

      Only the employee (who the leave belongs to) can add an attachment to applications with a status of 'Approved - not yet taken'.

    • It is an application with a status of 'Unapproved' and is yet to be approved by a supervisor.

      The employee (who the leave belongs to)an approver in the workflow or anyone with 'My Staff Leave/Other Application' security permissions can add an attachment via the 'Pencil' icon. for an application with a status of 'Unapproved'. 

  • Provide a facility to view application related documents published by the school (use the 'document+/attachments' icon).
    An example of a document might be the school's leave policies.

  • Allow you to cancel an application. Click the 'minus symbol' icon. 

    • An application can only be cancelled by the employee if:

      • It is a 'Leave' application with a status of 'Unapproved'.

      • It is a 'Leave' application with a status of 'Approved - not yet taken'.

      • It is an 'Other' application.

        You will need to enter a 'Reason of Cancellation'.

  • Allow you to edit an application. Click the 'pencil' icon,

    A Leave Application can be edited by employee's when the application has a status of:

    • Draft
    • Unapproved (and there have been no subsequent approvals).

    A Leave Application can be edited by the final approver in the workflow when the application has a status of:

    • Approved - not yet taken
    • Approved - part taken
  • Allow you to create a new application (use '+ New Application')
