Leave / Other Applications

Overview

The ‘Leave / Other Applications’ section within the My Payroll/HR program allows you to:

  • Submit an application for leave,

  • Submit an application for other types of leave (e.g. In-service),

  • Edit and submit a 'Draft' application that has been entered on your behalf,

  • View a history of all submitted applications, and

  • Cancel a previously submitted application.

This section can be accessed by navigating to Staff Kiosk Payroll/HR > My Payroll/HR.

'Other' is the default label used to describe staff absences that are not covered by Payroll 'Leave Types'. An example of an 'Other' type might be 'Inservice'. If your school has changed this description, this section of the employee profile might be called something else, e.g. My Staff Leave/Inservice Applications.

User Security Permissions

Access to this program is controlled by the ‘My Payroll/HR’ and ‘Leave/Other Applications’ security points in TASS.web System Admin > Users > Portal Security Permissions for Staff Kiosk. Contact your school’s TASS System Administrator for access.

For users to see the ‘+ New Application’ button and create new applications, they will also need the ‘--Add Applications’ security point assigned to them.

You can update the default description for 'Other' applications (staff absences not covered by Payroll 'Leave Types') in Staff Kiosk Payroll/HR > Application Parameters (Setup), but editing the 'School Name for Other Applications' field.

See How to Setup Staff Kiosk Leave Applications for more information about setting up this program.

About Leave/Other Applications

When you click on the ‘Leave / Other Applications’ tab, you will see a grid that summarises all of your current leave applications with the status 'Draft', 'Unapproved', or 'Approved – not yet taken'.

This grid lets you quickly view details of your current applications, including the first and last days of leave, the type of leave, the total hours, the status, and the current approver or assignee who needs to take action in the 'Assigned To' column.

Each listed application includes action icons in the far-right column that vary by application status.

Click the ‘Edit’ icon to make changes to the application details. Refer to ‘Editing an Application' or 'Actioning a Draft Application’ for more information.

A Leave Application can be edited by employees when the application has a status of:

  • Draft

  • Unapproved (and there have been no subsequent approvals).

A Leave Application can be edited by the final approver in the workflow when the application has a status of:

  • Approved - not yet taken

  • Approved - part taken

Click the ‘Add Attachments’ icon to add an attachment to the application.

This icon appears only for leave applications with the status 'Approved - not yet taken'. Only the employee who owns the leave can add attachments to these applications.

Attachments can also be added to leave applications with the status ‘Unapproved' via the 'Edit’ icon. This action can be performed by the employee (to whom the leave belongs), an approver in the workflow, or anyone with user security permissions to access the My Staff Leave/Other Application program.

Click the ‘Cancel’ icon to cancel the selected application.

An application can only be cancelled by the employee if:

  • It is a 'Leave' application with a status of 'Unapproved'.

  • It is a 'Leave' application with a status of 'Approved - not yet taken'.

  • It is an 'Other' application.

You cannot cancel a ‘Leave' application with a status of 'Draft’.

See Can Leave Applications be edited or cancelled in Staff Kiosk? for more information.

You will need to enter a 'Reason of Cancellation'.

Click here for an Administrator Note.

If an employee cannot cancel a leave application due to insufficient balance, it may be because your school has set ‘Insufficient Leave Actions' to 'Prevent’ for the selected leave type in Staff Kiosk Payroll/HR > Leave Types (Setup). Contact TASS Customer Care for further guidance.
