ATT - Student Absence Entry

Student Absence Entry Overview

This program is used to enter student absentee records (fast entry).

The process to add an absentee is explained in Student Admin > Attendance > Student Information > Student Attendance.

The 'Student Code' field will allow you to type in a 'Student Code' or 'Alternate ID' to identify the student this absence record is for. It also supports the search features described in Student Search

Once a student has been selected (using the 'Student Code' field) a 'View' link will become available. Clicking this link will redirect you to the student's record in program Student Admin > Student Records > Student Information > Students.

A warning message will be displayed at the bottom of the screen when an attendance record already exists for a student on the date nominated.

This screen is a 'Fast Entry' screen and does not contain the functionality to recur absences.

Recurring absence can only be added within the following programs:

  • Student Admin > Attendance > Student Information > Student Attendance (Add and Edit modes)
  • Student Admin > Attendance > Student Information > Bulk Absentee Entry (Add mode only)
  • Student Admin > Attendance > Student Information > Daily Inquiry (Edit mode only).

If your school is using 'Communication Rules', the parent contact information on the top right-hand side of the screen is deliberately replaced with student information fields. To access the precise communication rules for the student, the operator should click on the 'View' link. This will navigate to the 'Addresses & Communication Rules' tab on the student's record. The operator can then return to the 'Student Absence Entry' screen by clicking on the 'Cancel' button.

Clone

The 'Clone' feature within the Student Absence Entry program allows you to pre-populate selected fields in the 'Student Absence Entry' screen based upon the last absence entry that was saved.

Once an entry has been entered and saved to the database, the 'Clone' button will become available at the top of the 'Student Absence Entry' screen. 

Selecting this icon will populate the following fields with the data from the previously saved entry; 'Type of Absence', 'Reason for Absence', 'Time Arrived/Departed', 'Period', 'Doctor's Certificate', 'Source Reference', 'Parent Acknowledgement', 'Parent Acknowledgement Date', 'Parent Notification Sent', 'Notification Date' and 'Comment' fields.
