STR - Generate Subjects for Students
This program will generate student subjects using prototype subjects defined in program Student Admin > Student Records > Setup Information > Student Records Setup on the 'Prototype Subjects' tab.
It is a quick way to create subjects for an entire year group where there is a set curriculum. It can also be used to allocate core subjects to all students in a year group.
Important!
Enrolments must have been transferred using program Student Admin > Enrolments > Enrolment Information > Transfer to Current prior to running this program. You should note the 'Date of Entry' for new students. If it is greater than the date on which you are running this generation program, you will need to consider this by using the 'Date of Entry cut-off' field (explained below), to ensure that new students are included.
If you are generating subjects for Semester/Term 1, you should also check that the end-of-year procedure has been followed and that students are in their correct 'Year Group' for the new year before running this program.

Year Group | This is the year group for which you will be generating subjects, e.g. 11. Prototype subjects must be defined against this year group in program Student Admin > Student Records > Setup Information > Student Records Setup on the 'Prototype Subjects' tab. |
Year of Study | This is the calendar year for which you will be generating subjects, e.g. 2016. |
Semester/Term | This is the Semester/Term for which you will be generating subjects, e.g. 1. The description of this field is school definable. For example, your school may be term-based (as opposed to semester based). In that case, this screen may be displaying a description of 'Term'. |
Date of Entry cut-off date | This program will generate subjects for current students. To include students who are not yet current, enter the applicable future date (equal to or greater than the students' 'Date of Entry'). |
Let Subject Class equal Form Class? | By default, this checkbox is ticked. If you leave this ticked, the program will create subject classes for each student based on the 'Form Class' field on the student record. For example, if the student is in Form Class A, he/she will be in English Class A, Maths Class A etc. The program will produce a warning if you generate subjects with this option, and there are students who do not have a 'Form Class' on their student. If any subjects are generated for students without a class (Either due to the student not having a 'Form Class' or because you did not tick the 'Let Subject Class equal Form Class?' checkbox) then you must manually allocate the classes to those students' subjects using the program Student Admin > Student Records > Student Classes > Student Subject Grid Entry. |
Enter your selections and click 'Next'.
The 'Records to be Generated' screen will display the students and their associated subjects that will be generated.
Untick the box against any individual student/subject combination to exclude it from the generation process.
If any records exhibit green shading, the checkbox will not be available as the subject has already been defined against the student for the selected year and period.
Make your selections and click on the 'Confirm' button to commit your changes to the TASS.web database.
