Markbook - Enter or Calculate Overall Subject Grades

Overview

On the Markbook Activity Assessment screen, Overall Subject Grades can be:

  • Entered manually,

  • Calculated by the system using Calculation Rules.

  • or Uploaded from an Excel® spreadsheet.

HODS and Department Administrators can select the 'Include all subject classes' option, allowing all classes of the subject to display. Calculation Rules can be entered, and results can be calculated for all classes at the same time.

The Objectives displayed in this section, and their sort order, are determined during the academic reporting set up in TASS.web program Student Admin > Academic Reporting > Setup Information > Assessment Setup on the ‘Result Formats’ tab.

Students can also enter subject comments through this section using the ‘plus symbol/comment’ icons displayed at the end of the Overall Subject Grades section.

Hamburger Menu

Each Overall Subject Grade Objective has its own hamburger menu containing available actions for the Objective.

Menu Item

Details

Calculate Results

Click this option to calculate the students' Overall Subject Grades for each Objective according to the selected Calculation Rule.

Before results can be calculated, the student must have all Activity Objective results entered, and a Calculation Rule must be set up for the Overall Subject Grades Objective.

When the 'Include all subject classes' option is ticked, results will be calculated for all classes. This option is only available to HODs and Department Administrators.

Clear Results

Click this option to clear all results from the selected Objective column.

When the 'Include all subject classes' option is ticked, results will be cleared for all classes. This option is only available to HODs and Department Administrators.

Upload

Click this option to upload Overall Subject Grades for each Objective from an Excel spreadsheet.

When the 'Include all subject classes' option is ticked, results for all classes can be uploaded at the same time. This option is only available to HODs and Department Administrators.

Calculation Rules

Click this option to select the Calculation Rules that will be used to calculate each Objective.

When the 'Include all subject classes' option is ticked, rules can be entered for all classes at the same time. This option is only available to HODs and Department Administrators.

Calculation Details

Click this option to view and/or Print the Calculation Details for the Objective.

When the 'Include all subject classes' option is ticked, a class filter displays so that each class's Calculation Details can be viewed, as it is possible to have different calculation details for different classes of the same subject. This option is only available to HODs and Department Administrators.

Enter Overall Subject Grades Manually

Overall Subject Grades can be entered directly into the cell under the Objective for each student.

The Assessment Method Type and Prompt (located under the Objective description) are helpful reminders of the Assessment Method used for each Objective.

Only valid entries are accepted upon saving. For example, where an Objective requires a result of 0-50, it is not possible to save an entry of 65, or 'B'.

Assessment Methods and their Validation Types are determined during the academic reporting set-up in TASS.web program, Student Admin > Academic Reporting > Setup Information > Assessment Setup on the ‘Result Formats’ tab.

Types of result entry:

Individual 

A list of possible results, selected via a drop down picklist, or typed into a cell. 

For example:     

  • S or N

  • A+, A, B+, B, C+, C, D+, D, E+, E, N

  • Exc, Acc or Bor

Range   

A numeric result.

For example: 

  • 0 - 100

  • 0 - 50

Free text

Free form text entry, up to 7 characters.

Acceptable text includes:

  • numbers from 0-9

  • upper and lower case English letters from A to Z

  • special characters  ~ ! # $ % ^ & * ( ) - _ + = { } [ ] | \ : ; " ' < > , . ? / 

Note that where an Overall Subject Grade has been entered, and a change is made to a student's activity results, the associated Objective's Overall Subject Grades are cleared, ready for the new grade to be entered or calculated.

Remember to ‘Save’ your entries, as there is no automatic save.

Calculation Rules

Click on the 'Calculation Rules' option from the Overall Subject Grade Objective's hamburger menu to open the Calculation Rules modal and enter the calculation rule details.

Even though the Calculation Rules modal is opened for a specific Objective, all Objectives for the subject display and can be modified at the same time.

Column Heading

Details

Status

The 'Mod' icon displays to highlight if a rule has been modified, prior to saving.

Class

The Class column displays when the 'Include all subject classes' option is ticked, allowing for rules to be entered for some or all classes. This option is only available to HODs and Department Administrators.

Objective

The Overall Subject Grade Objective's description.

The Objectives for the Subject have been set up in TASS.web. program Student Admin > Academic Reporting > Setup Information > Assessment Setup.

Rule

Select the appropriate Calculation Rule from the list.

Calculation Rules can be set up in either:

Rule Details

The details of the Rules display once a rule has been selected (for all rules except 'Numeric Range').

Calculation Method

Select the appropriate Calculation Method.

Method 1

Calculate Overall Subject Grade(s) based on the average of the Final Results

When this method is selected, the 'Overall Subject Grade' is calculated by averaging the 'Final Results' Objective columns that have been selected for the calculation.

By default, the calculation will evenly weight each ‘Final Result' when calculating ‘Overall Subject Grade'. Optionally, your school may have enabled functionality that allows you to allocate differential weightings against 'Final Results'. When differential weightings are applied, ‘Final Results’ are then averaged with their weightings applied to obtain the 'Overall Subject Grade.'

When differential weightings are enabled, you can select which ‘Final Results’ to include in the calculations and apply weightings via the 'Use Differential Weightings’ column on the ‘Calculation Rules’ screen, which can be accessed by clicking on ‘Calculation Rules’ in the 'Overall Subject Grade’ hamburger menu.

This method does not allow you to include past reporting periods in the calculations. However, past Reporting Periods can be used to calculate the Final Results.

When differential weightings are enabled, you can select which ‘Final Results’ Objectives columns to include or exclude in the ‘Overall Subject Grade’ calculation via the ‘Calculation Rules’ option in the 'Overall Subject Grade’ Objective’s hamburger menu.

Before calculating the ‘Overall Subject Grade' using this method, you must first calculate the ‘Final Results.’ The 'Final Results’ are determined based on the raw scores of the activities/objectives and their respective weightings. These calculated ‘Final Results’ are then averaged to obtain the 'Overall Subject Grade.'

The 'Use Differential Weightings' option is available to either HODS and Department Administrator or all Teachers based on the following permissions in Staff Kiosk program Assessment > Parameters (Setup):

  • 'Allow HODS and Department Administrators to modify 'Final Results' Weightings for 'Overall Subject Grade' calculations'.

  • 'Allow all teachers to modify 'Final Results' Weightings for 'Overall Subject Grade' calculations' permissions.


Calculation Formula

The formula for calculating ‘Overall Subject Grades’ using Method 1 with differential weightings is as follows:

When no weightings are applied to the final results, the calculation will evenly weight each of the Final Result Objectives.

Method 2

Calculate Overall Subject Grade(s) based on weighted Activity Objective Raw Scores ONLY

When this method is selected, the ‘Overall Subject Grade' calculation is based on the ‘maximum result’ and ‘weighting’ of each ‘raw score’ result for each Activity Objective. The ‘Activity/Objective raw scores’ are averaged, and their associated 'weightings’ are applied to reach the ‘Overall Subject Grade'.

'Final Results' are ignored and do not contribute to the calculated 'Overall Subject Grade'.

Include past periods by selecting 'Yes' in the 'Include Past Periods' field, accessed via 'Calculation Rules' in the hamburger menu.

Calculation Formula

The formula for calculating ‘Overall Subject Grades’ using Method 2 and weightings is as follows:

Only Objectives with the Progressive Assessment Type of ‘QS’ and flagged to contribute to the Overall Subject Grade will be included. This can be checked and set up on the 'Result Formats’ tab in TASS.web program Student Admin > Academic Reporting > Setup Information> Assessment Setup.


Method 3

Calculate Overall Subject Grade(s) based on the addition of the Activity Objective Raw Scores ONLY (ignores weightings)

When this method is selected, the ‘Overall Subject Grade' calculation is based on 'Activity/Objective raw scores’ only. The 'Activity/Objective raw scores’ are added together using simple addition to reach the ‘Overall Subject Grade'.

‘Final Results' and ‘weightings’ are ignored and do not contribute to the calculated ‘Overall Subject Grade'. Apart from Activity Objectives that have been given a weighting of 0, these will be excluded from this calculation.

The sum of all Activity ‘Maximum Results’ must equal the 'Maximum Result’, which is defined as the Overall Subject Grade 'Assessment Method’.

Include past periods by selecting 'Yes' in the 'Include Past Periods' field, accessed via 'Calculation Rules' in the hamburger menu.

The formula for calculating ‘Overall Subject Grades’ using Method 3 and numeric results is as follows:

When using a Calculation Rule to translate the ‘Overall Subject Grade (OSG)’ into a non-numeric grade, the following formula is then applied:

When trying to achieve a numeric Overall Subject Grade value, the sum of all Activity ‘Maximum Results’ must equal the 'Maximum Result’, which is defined as the Overall Subject Grade 'Assessment Method’ in TASS.web program Student Admin > Academic Reporting > Setup Information> Assessment Setup on the 'Result Formats’ tab.

Overall Subject Grade Maximum Result = Activity Raw Score 1 Maximum Result + Activity Raw Score 2 Maximum Result + Activity Raw Score 3 Maximum Result etc.

For example:

  • If you have a total of 4 Activity Objectives and each of their ‘Maximum Result’ values is set to ‘25', the 'Assessment Method’ set for the Overall Subject Grade must have a 'Maximum Result' range of 100 to accommodate the calculation of the 4 activity objectives when they are added together. (eg. 25+25+25+25 = 100)

You can exclude Activity Objectives from this calculation by assigning them a weighting of ‘0'. When a weighting of '0’ is assigned, you must adjust the Overall Subject Grade Objective Assessment Method range to reflect, as per the above point (e.g. 25+25+25 = 75).


When trying to achieve a non-numeric Overall Subject Grade value, select your preferred 'Assessment Code/Assessment Method’ format in TASS.web program Student Admin > Academic Reporting > Setup Information> Assessment Setup on the 'Result Formats’ tab. Then, use a Calculation Rule to translate the result totals into the non-numeric values you wish to display as the Overall Subject Grade.

For example:

  • If you have a total of 4 Activity Objectives and each of their 'Maximum Result' values is set to 25, the 'Maximum Result' value would be 100 to accommodate the calculation of the 4 activity objectives when they are added together (e.g. 25 + 25 + 25 + 25 = 100). To receive a non-numeric grade, your Assessment Code would be set to a grade scale (e.g. A+ to E-) in TASS.web, and your Calculation Rule would then translate which numeric values out of 100 correspond to the A+ to E- scale.


Validation Errors

  • If a validation message states that “Method 3 can only be used when all objectives that contribute to the calculation of an ‘Overall Subject Grade’ use a numeric range.”, check that all Final Result Objectives have been assigned an Assessment Method with a numeric range validation.

A ‘Numeric Range’ validation is a type of Assessment Method setup when the Assessment Method Type field is set to 'Numeric', and the Validation Type field is set to 'Range'.


Include Past Periods

Select 'Yes' if the previous Reporting Period results should be included in the Overall Subject Grades Calculations.

Usually, Semester type Objectives (eg 'Semester Overall Result') would not have this option ticked, but Year-long type Objectives (eg 'Year Result') would have this option ticked.

Use Differential Weighting

'Yes' can be selected when Calculation Rule Method 1 has been selected, you can then enter the weighting percentage for each Objective.

No differential weighting can occur if Calculation Methods 2 or 3 have been selected.

The 'Use Differential Weightings' option can be made available to HODS and Department Administrator or all Teachers based on the following permissions in Staff Kiosk program Assessment > Parameters (Setup):

  • 'Allow HODS and Department Administrators to modify 'Final Results' Weightings for 'Overall Subject Grade' calculations'.

  • 'Allow all teachers to modify 'Final Results' Weightings for 'Overall Subject Grade' calculations' permissions.

Fill Down

Select an option in the top row of the ‘Rule’, ‘Include Past Periods’ or ‘Use Addition’ columns, then click the 'Fill Down' button to populate all rows below.

Validation Errors

If the Calculation Rule selected for an Objective is invalid, a Validation Error will appear when attempting to save.

Calculating Overall Subject Grades

Click on the 'Calculate Results' option from an Objective's hamburger menu to perform the result calculations for the Objective.

  • Results are calculated for all students who have a full set of Activity Results or Final Results (depending on the Calculation Rule being used) entered.

  • A red exclamation mark displays against students who have any missing activity results, and disappears upon saving or clearing the results.

  • If any results have been entered manually, these will not be altered by the Calculate Results action, even if the entered result does not adhere to the Calculation Rule. This allows you to override the Calculation Rule.

  • Activity Objectives with a 0 (zero) weighting are excluded from calculations.

Uploading Overall Subject Grades

Overall Objective Grades can be uploaded from an Excel® spreadsheet.

You can either:

  • upload a single Objective's Overall Objective Grades by selecting ‘Upload' from the Objective's hamburger menu.

  • or upload multiple Objectives' Overall Objective Grades by selecting the 'upload’ icon from the Overall Objective Grades heading.

Steps to upload results:

Prepare the Excel® file. Include the following information: Student Code, Objective Code/s, and student results (results must be in the correct format ie, if the Objective requires a numeric result, ensure that letter results are not used.)

Click '+Choose' and locate the Excel file, then click 'Upload'.

Choose the *Worksheet from the Excel file that contains the data.

Map the Columns:
  - *Student Codes
  - Objective Codes

Map the Rows:
  - *Objective Codes
  - *First Student Code

Translate Results during Import: Select this option if you want the uploaded results to be translated using the Calculation Rules you have set up for Overall Subject Grades.

* Existing Results: Select from the options:

     Preserve existing results and only upload new results.
     Overwrite existing results except if upload data is blank.
     Overwrite existing results even if upload data is blank.

Click 'Upload'.

  • A Validation check occurs, and an error message displays where the issue is identified.

  • Cells containing uploaded data display in Markbook in blue, until a save is performed.

  • If incorrect result types were imported, these display in Markbook with a red exclamation mark (eg, Markbook requires S or N results, but numeric results were imported.)

Enter Subject Comments

Subject comments for students can be entered and edited via the ‘plus symbol/comment’ icon.

Included functions via icons include:

  • Spell Check: Checks the spelling of the entered text.

  • Global Comment Bank: Displays the comment bank if set up by your school, and can be inserted into the comment box.

  • Personal Comment Bank: Displays your personal comment bank (if set up), and can be inserted into the comment box. You can also add further comments to your personal comment bank via the ‘+ New Comment’ button.

  • Format Comment: If keywords have been used, use this function to view the subject comment as they will appear to students/parents, or on the report.

Student subject comments can be printed or exported via the ‘Print’ button by ticking the 'Include Subject Comments' option.

Comment Banks

  • Global Comment Banks are determined by your school Administrator during the academic reporting set-up in TASS.web program Student Admin > Academic Reporting > Setup Information > Assessment Setup > Comments Tab.

  • User Personal Comment Banks can be enabled or disabled for each Reporting Period via TASS.web program Student Admin > Academic Reporting > Setup Information > Assessment Setup on the ‘Result Periods’ tab.

For Administrators

  • Objectives for Overall Subject Grades are set up in TASS.web program Student Admin > Academic Reporting > Setup Information > Assessment Setup > Result Formats Tab.

  • Calculation Rules are set up in TASS.web program Student Admin > Academic Reporting > Setup Information > Assessment Setup > Calculation Rules Tab.

  • Calculation Methods and calculation rule options can be enabled in Staff Kiosk program Assessment > Parameters (Setup).

  • Assessment Methods and their Validation Types are set up in TASS.web program Student Admin > Academic Reporting > Setup Information > Assessment Setup > Assessment Methods Tab.

User Permissions

  • Permission for users to access the Calculation Rules screen in Staff Kiosk is given in Portal Security Permissions  Teacher Kiosk, Assessment section - Calculation Rules.

Comment Banks

  • Global Comment Banks are set up in TASS.web program Student Admin > Academic Reporting > Setup Information > Assessment Setup > Comments Tab.

  • User Personal Comment Banks can be enabled or disabled for each Reporting Period via TASS.web program Student Admin > Academic Reporting > Setup Information > Assessment Setup on the ‘Result Periods’ tab.
