How to Add a New Student Learning Support Plan and Create Class Plans

This guide will help you add a new Support Plan and Class Plan for a student in the Staff Kiosk Staff > Learning Support program.

Before using the Learning Support program, ensure it is set up correctly by following the guide on 'How to Setup Learning Support'.

Important!

TASS strongly recommends completing Professional Services training before using the Learning Support program. Training is essential for effectively using the module, supporting students with learning needs, and meeting government reporting standards. See the ‘Portal Services’ section of the Professional Services Menu for information or to book.

Before completing this checklist, ensure users have the appropriate Security Permissions enabled in TASS.web System Admin > Users > Portal Security Permissions for 'Staff Kiosk'.

User Security Permissions to complete this checklist.

  • To add Support Plans, the user must have the ‘--Add Support Plan’ permission enabled.

  • To view Support Plans for students that the user is not the assigned teacher of, they must have the ‘All Support Plans’ permission enabled.

  • To add Adjustments to Support Plans, the user must have the ‘--Add Adjustments’ permission enabled.

  • To add Notes, the user must have the ‘Support Plan Notes’ and ‘--Add Support Plan Notes’ permissions enabled.

Administrators can apply these permissions in TASS.web System Admin > Users > Portal Security Permissions for 'Staff Kiosk'.

User Security Permissions for Teachers

Ensure that all the Teachers allocated to Class Plans for the student can access the Learning Support program and relevant information in Staff Kiosk.

  • To view the Class Plans of students that they are the assigned teacher of, the user must have the ‘Learning Support’ and ‘Class Plans’ permissions enabled.

  • To view Adjustments, the user must have the ‘Adjustments’ permission enabled.

  • To add evidence for the implemented adjustments, the user must have the ‘Adjustment Evidence’ and '--Add Adjustment Evidence' permissions enabled.

Administrators can apply these permissions in TASS.web System Admin > Users > Portal Security Permissions for 'Staff Kiosk'.

Staff Kiosk Staff > Learning Support

Click '+ New Support Plan' to create a new support plan for the student.

On the ‘Add Student Details’ screen:

  • In the 'Student' field, type at least 3 characters to search for the student, then select their name from the drop-down.

  • Ensure the 'Active' checkbox is selected.

  • Enter any other necessary information into the User Defined (UD) fields.

UD fields for Learning Support are set up by your administrator in Staff Kiosk Staff > Learning Support (Setup) > UD Fields.

Optional NCCD Steps

This information is required for the Census submission, but does not necessarily need to be entered now. However, you should ensure you have completed it before the Census is due.

  • If the student is eligible to be included in NCCD, enter the applicable category and level in the ‘NCCD Category' and 'NCCD Adjustment Level’ fields.

  • If the student is not eligible for NCCD and should be excluded, select the 'Exclude NCCD' checkbox.

Click ‘+ Submit New’.

Staff Kiosk Staff > Learning Support > Support Plan Grid

Open the Support Plan by locating the Student, and then clicking the ‘View Support Plan’ icon in the Action column.

If you have user permissions to view ‘All Support Plans’, ensure the ‘Consolidate' filter is selected.

Staff Kiosk Staff > Learning Support > Support Plan Grid > View Support Plan > Adjustments

Add the Adjustments that the student requires at school by selecting ‘Adjustments’ in the left-side menu and then ‘+ New’.

Select the relevant ‘Adjustment Category’ and the appropriate ‘Include’ checkbox for each Adjustment the student requires.

Select the ‘Mandatory’ checkbox for any compulsory Adjustments that must be implemented in all Class Plans.

The Adjustment Categories and the list of Adjustments available on this screen can be managed by your administrator in Staff Kiosk Staff > Learning Support (Setup) within the ‘Adjustment Categories’ section.

Staff Kiosk Staff > Learning Support > Support Plan Grid > View Support Plan > Class Plans

Select the Subjects for which the Support Plan and Adjustments are required by clicking ‘Class Plans’ in the left-side menu, then ‘+New’.

Select the relevant ‘Year’, ‘Semester’ and ‘Class’ from the drop-down lists. Ensure the ‘Active’ checkbox is selected, then click ‘+Submit New’.

Repeat this for all classes where Learning Support is required. This process will create a new ‘Class Plan Details Screen’ for each class you have added.

Each time a Class Plan is created, a ‘point-in-time snapshot’ is taken of the Student Details, Year Group, Subject, Class, and Teacher information.

This snapshot does not update automatically.

If or when Student Details, Year Group, Subject, Class, and Teacher details change, the Class Plan should be made inactive, and a new one should be created for Adjustment evidence collection.

Class Plans cannot be deleted; they can only be made inactive.

The teacher will receive an automated email when a new Class Plan is added to a Support Plan and the ‘New Class Plan’ System Email Template is ‘Active’. This automated email contains a direct link to the Class Plan, where the teacher can review the adjustments and select the adjustments they use in class for the student. They can also add comments for each adjustment if required.

To add comments for Adjustments, go to the Class Plan Details Screen. Click ‘Adjustments’ in the side menu, then click the ‘Select/Review’ button.

The ‘New Class Plan’ email can be maintained by your administrator in TASS.web System Admin > Utilities > Email Settings on the ‘System Email Templates’ tab.

Staff Kiosk Staff > Learning Support > Support Plan Grid > View Support Plan > Notes

This step is optional.

Add any other Learning Support-related notes.

Before adding a new note, ensure there isn't a UD field for the information under ‘Student Details’.

Click ‘Notes’ in the left-side menu, then click ‘+New’. Enter the Date, select a Note Category, enter your text, and add an attachment if required. Then, click ‘+Submit New’ when complete.

Note Categories can be set up by your administrator in Staff Kiosk Staff > Learning Support (Setup) within the ‘Note Categories’ section.

All Notes can be viewed by users with the ‘Support Plan Notes’ user security permission. There are no Category-based permissions for this feature.

Staff Kiosk Staff > Learning Support > Support Plan Grid > View Support Plan > Print

This step is optional.

Print the Support Plan for parents to review and sign by clicking ‘Print’ at the top right corner of the Support Plan Details Screen. Select the necessary Report Options, Signatures, and Export Formats, then click ‘GO’.

To email parents a copy of this support plan, use the ‘Generate Email’ option in the Staff Kiosk Student Profile hamburger menu.

Select the appropriate 'Communication Log Category' for Learning Support to keep a record of this email on the student’s Learning Support Communication Log.

The ‘Communication Log Category’ for Learning Support is defined in Staff Kiosk Staff > Learning Support (Setup) in the ‘Email Categories’ section.

Please refer to your school guidelines to ensure that the information in the Learning Support program is kept up to date throughout the year.

Examples

Learning Support-related tasks to be completed throughout the year could include:

  • Ensure student adjustments are accommodated in the classroom and adjustment evidence is added to the Class Plan where required.

  • Monitor the review dates in the Learning Support > Student Details UD fields.

  • Ensure NCCD category and adjustment levels are added before NCCD reporting is due.

  • When sending communications about learning support, select the relevant Learning Support Communication Category to ensure relevant communications are included on the student’s Support Plan.

Refer to the Census (Aus) Checklist for information on how to add NCCD data and submit it to the Australian Government Department of Education.
