How to Setup Learning Support

This guide will assist you with the configurations required for using the Staff Kiosk Staff > Learning Support program.

Important!

TASS strongly recommends completing Professional Services training before using the Learning Support program. Training is essential for effectively using the module, supporting students with learning needs, and meeting government reporting standards. See the ‘Portal Services’ section of the Professional Services Menu for information or to book.

To complete this checklist, you will need user security permissions enabled for ‘Learning Support (Setup)’ in TASS.web System Admin > Users > Portal Security Permissions for 'Staff Kiosk'.

Staff Kiosk Staff > Learning Support (Setup) > UD Fields

Configure the User Defined (UD) Fields that can be used on Support Plans and Class Plans.

User-defined (UD) fields allow for the customisation of Learning Support information, with options such as flag fields, table-referenced fields, text fields, date fields, and attachment fields.

Staff Kiosk Staff > Learning Support (Setup) > Email Categories

Select the Email Categories related to Learning Support.

When an email is sent with this email category selected in the ‘Communication Log Category’ field, a copy of the email will be added to the student’s Support Plan in the ‘Communications' section.

Refer to the ‘Email Categories’ section of the Learning Support (Setup) article for more information.

Due to the sensitive nature of Learning Support, consider which staff should have access to view each Email Category.

You might like to set up a separate Email Category for ‘Confidential Learning Support’ correspondence.

For example, Learning Support Coordinators could have access to all Learning Support-related email categories, while teachers might only be able to access the standard Learning Support email category.

User Permissions for each Email Category will be assigned during Step 7 of this checklist.

Staff Kiosk Staff > Learning Support (Setup) > Adjustment Categories

Create Adjustment Categories and Adjustments within each category.

These adjustments can be included in the student’s Support Plan and Class Plans.

Ensure the ‘Active’ checkbox is selected for all categories and adjustments that you want staff to have access to when creating Support Plans and Class Plans.

You can change the display order of Adjustment Categories and Adjustments by editing the ‘Sort’ number.

Staff Kiosk Staff > Learning Support (Setup) > Signatories

Configure the Signatories for Learning Support.

These signatories can be added to printed copies of the Support Plan and Class Plans.

You can change the display order of signatories by editing the ‘Sort’ number.

Staff Kiosk Staff > Learning Support (Setup) > Note Categories

Create Note Categories that are relevant for Learning Support at your school.

These categories can then be used to record observations and conversations about the student's Learning Support progress or additional support requirements.

The Staff Kiosk Learning Support module includes a dedicated section for recording Adjustment Evidence, so you don’t need to create a note category for this.

Learning Support Note Categories are visible to all staff with the ‘Support Plan Notes’ user permission.

Due to the sensitive nature of Learning Support Notes, it’s important to consider who can view them.

For example, at your school, the Learning Support Coordinators could have permission to view, add, edit, and delete these notes, while teachers might only have permission to view student details and UD fields on Support Plans and Class Plans.

User Permissions can be set up during Step 7 of this checklist.

TASS.web System Admin > Utilities > Email Settings on the ‘System Email Templates’ tab.

Review the ‘New Class Plan’ System Email Template.

This automated email will be sent to teachers when a new Class Plan is created and they are assigned as the teacher.

To enable this automated email, set the ‘Active’ field to ‘Yes’, then update the contents of the email if required.

Student and Learning Support keywords are available beneath the ‘Key’ icon on the email toolbar.

TASS.web System Admin > Users > Portal Security Permissions for 'Staff Kiosk'.

Ask your administrator to assign the appropriate User Security Permissions to the program users.

Due to the sensitive nature of Learning Support, it is important to consider what information each staff member can access.

The hover-over icons in the Portal Security Permission program show details about what each permission allows in Staff Kiosk.

Example

Learning Support Coordinators can access all Support Plans, while Teachers can only view Class Plans that are relevant to them.

  • For Teachers, assign the ‘Learning Support’ and ‘Class Plans’ permissions so they can view only the Class Plans where they are the assigned teacher. Grant the ‘Adjustments’ permission so they can view the required classroom adjustments. Then, grant the ‘Adjustment Evidence’ and '--Add Adjustment Evidence' permissions to add evidence of adjustments made for the student in the class.

  • For Learning Support Coordinators, grant the same permissions as Teachers and the ‘--All Support Plans’ permission to allow them to view all student Support Plans. Also, provide the ‘--Add Adjustments’ and ‘--Edit Adjustments’ permissions so they can add and modify adjustments.

Additional Learning Support permissions can be added for individual users or a User Role group as required.

Learning Support Alerts

  • Staff can see Learning Support alerts for students in their Class Plans when the 'Learning Support' security point is enabled.

  • To see alerts for all Learning Support students, the user must have both the 'Learning Support' and '--All Support Plans' security points enabled.

If you created a Confidential Learning Support Email Category in Step 2, don’t forget to allocate user permissions for each Email Category.
