TT - Timetable Calendar Setup (SU)

Overview

From TASS.web v44 release onwards, it is mandatory to use a timetable calendar.

This program is used to map the day codes from within your timetable cycle to actual calendar dates.

Before adding a new calendar for a timetable, ensure that all Steps 1 to 10 in the Timetable Rollover Checklist have been completed. The calendar relies on several of these steps having been completed. 

Select a Timetable

Use the drop-down list to select the timetable that you want to work on (only timetables that have been set up using TASS.web program Student Admin > Timetable > Setup Information > Timetable Setup, on the 'Timetable Definitions' tab are available for selection).

Choose the timetable that you want to work on.

Click the 'GO' button.

Add a New Timetable Calendar

If there is no calendar for the timetable that you selected, a 'Create Timetable Calendar' checkbox will be displayed.

  1. Enter the 'Start Date' and 'End Date' (usually the first and last days of the term or semester) for this timetable calendar and click the 'Create' button.

  2. A 'Timetable Calendar Setup' grid will be loaded with all dates that fall within this date range.
    You must now enter the first timetable day against the first school calendar date, into the first cell in the 'Day Code' column. Day Codes are setup in TASS.web program Student Admin > Timetable > Setup Information> Timetable Setup on the 'Days' tab.
    Use the 'Fill Down' button to auto-generate the timetabled days down the column.
    For example, if you are running a 10-day timetable cycle then enter 1 into the first day of the Term/Semester and click the 'Fill Down' icon.

  3. The program will build the entire calendar for you. It will skip weekends, but not school holidays or pupil free days. You will need to manually adjust for these.
    You may then make changes to individual days as required.
    You can also enter a different day code into a designated cell and 'Fill Down' from that point onwards. The remainder of the column will then be renumbered accordingly.

Click the 'Save' button to commit your changes to the database or select the 'Cancel' button to return to the selection screens.

Maintain an existing timetable calendar

To alter the allocation of 'Day Codes' against calendar dates after the calendar has been generated and saved, there are two options:

  1. Make individual day code adjustments manually.

  2. Delete the calendar and start over.

You can also modify the 'Start Date' and 'End Date' by clicking the 'Edit Date Range' button.

Non-School Day Code and Types

The ‘Non-School Day Codes’ and ‘Non-School Day Types’ columns are only visible when:

  • The Company Information 'State' field is set to 'Western Australia' in TASS.web Finance > General Ledger > Setup Information > Company Information

  • The school has -1 Year Groups included in the selected Timetable.

The data in these two columns are used to produce the CSV file required for the PRA Data Collection in TASS.web Student Admin > Student Records > Government Reporting > PRA Data Extract (WA).

To nominate a Non-School Day Code, remove the number from the ‘Day Code’ column and enter it into the ‘Non-School Day Code’ column.

In the ‘Non-School Day Type’ column, select the type of Non-School Day. Options include: Public Holiday, Pupil Free Day and Term Closure.

Click the ‘Save’ button when complete.
