TT - Timetable Definitions Tab (SU)

Timetable Definitions Tab Overview

This is where the Timetable Definitions are set up. When operating in multiple timetable mode this program allows for the addition of new timetables.

Important!

If your school is not using multiple timetables this tab will not be available for selection, therefore this section is not needed to complete your timetable setup.

Adding Timetable Definitions

To add a new timetable definition click on the 'Add NEW Definition' button to display the 'Timetable Definitions' screen.

When satisfied with your entry, click on the 'Save' button to commit your changes to the TASS.web database.

Viewing and Editing Timetable Definitions

To 'View', 'Edit' or 'Delete' a timetable definition, click on the associated link. The 'Timetable Definitions' screen is then populated with detail of your chosen selection.

When satisfied with your entry, click on the 'Update' button to commit your changes to the TASS.web database.

Fields that require detailed information

Timetable

System managed timetable code defined at the time of setting up your timetable(s). This field is auto-numbered, and cannot be altered.

Description

Unique description for this timetable.

In a multiple timetabled environment it is suggested this description be as explicit as possible to enable easy search and selection in other areas of TASS.web and other TASS portals.

Examples may include:

  • 2007 Sem 1 Senior School Timetable.
  • 2007 S2 Term 4 Junior School Timetable.

Abbreviation

Short Description for this timetable, used in abbreviated form on various reports and listings.

Campus

This field will only be displayed if multiple campus timetables are enabled.

Nominate the campus for this timetable from the picklist.

Calendar

This field will be set to 'Yes'.

The Timetable Calendar must be built using program Student Admin > Timetable > Setup Information > Timetable Calendar Setup.

Clash Flag

This Yes/No flag will perform a system validation check for teacher and room combinations and will disallow clashes when set to 'N'.

If this flag is set to 'N' then on any given day in any given period the system will disallow the same teacher or room to be timetabled twice.

Valid Flag

This Yes/No flag (read-only) indicates whether the timetable specified has been validated.

If this flag is set to 'Y' the timetable has been validated and is ready for loading as a Master Timetable in Student Admin > Timetable > External Data Interface > Generate Master Timetable.

If this field is set to 'N' and your school does import timetables from a third party application (such as Timetabler® or Timechart®) the following scenarios are possible:

  1. No timetable has been imported (see Student Admin > Timetable > External Data Interface > Import Data).
  2. The timetable has been imported but not yet validated (see Student Admin > Timetable > External Data Interface > Validate Imported Data).

In multiple timetables mode, a new timetable must be created for every timetable in every term/semester. If you are beginning a new term/semester with 3 timetables to be used in that term/semester then you will need to create those 3 timetables. Because of this, it is a good idea to have timetable descriptions which are easily identified as relating to a certain year and term/semester (e.g. 2008 Sem 1 – Junior Timetable, 2008 Sem 1 – Middle Timetable, 2008 Sem 1 – Senior Timetable).
