PAR - Parent Address Listing

Overview

The ‘Parent Address Listing’ program allows you to produce a report detailing parent address information based on the ‘Address Type' that is selected on the 'Print’ tab.

This program can be accessed by navigating to TASS.web Student Admin > Parent Records > Listings and Reports.

Three search modes are available to determine which parents will be displayed in your report.

  1. Parent/Student mode search.

  2. Subject mode search.

  3. Extra-curricular mode search.

If you select 'Parent/Student mode search' you can also nominate to include a Student 'Extended User Defined Area' in your selection criteria. The 'Extended UD Area' that you choose will appear on the next selection screen as the last tab. You will be able to use any of the fields on this tab as part of your selection criteria.

Select the method of search you wish to use and click 'GO'.

The screen that appears next and the available tabs will vary depending on the search mode you selected.

Select Search Mode

1. Parent/Student Mode Search

Using this mode of searching, you can use any combination of fields on the 'Parent', 'Account Details', 'Parent UD', 'Student' and 'Student UD' tabs to select the parent records to display on your report, e.g. parents of students who are starting next year.

If you selected an 'Extended User Definable Area' in the previous screen, the 'Extended UD Area' that you chose will appear on the next selection screen as the last tab.

Filter the report for Simple and Complex Split Parents by setting the ‘Multi Parenting Arrangements’ field to ‘Yes’ on the ‘Student’ tab, then select the Address Type your school uses for these parents on the ‘Print’ tab.

Including Current or Non-Current Parents on Your Report

On the 'Parent' tab, you use a combination of the 'Status' field and the 'Status Options' to determine the status of parents to include on your report.

2. Subject Mode Search

You would use this mode of searching to display parents of students studying a particular subject, e.g. All Year 11 English students.

Current student subject choices need to be correctly entered into the system for this to work.

3. Extra-Curricular Mode Search

You would use this mode of searching to display parents of students who are involved in a particular extra-curricular activity, e.g. All Year 11 students involved in the Choir.

Current student extra-curricular choices need to be correctly entered into the system for this to work.

Print Tab

Use the 'Print' tab to format the report and select address types for your listing.

Sort Options

Surname

Parent Type

Suburb

The default is for the report to sort by Surname.

Alternatively, you can elect to sort by 'Parent Type' or 'Suburb'.

Formatting Options

Export to PDF

Export to Excel

Export to Word

Choose the 'destination' of the report. This can be to Adobe® PDF viewer, Microsoft Excel® or Microsoft Word®.

Show Table Borders and Alternative Row Colours

The 'Table Borders' and 'Alternate Row Colours' options can enhance the readability of the report but are not available if the listing destination is Excel®.

Use Default Address if selected address not specified

This field is only available when a single address has been selected from the 'Address Types' field and the address selected is not the school's default address block.

When ticked, the default address will be displayed if the address nominated in the 'Address Types' field is not populated for a parent.

Address Types

Select the 'Address Types' to include in the listing by highlighting them with a mouse click.

The address types in this list correspond to those configured in TASS.web Student Admin > Parent Records > Setup Information > Parent Records Setup, on the ‘Addresses’ tab.

Holding down the 'Shift' key while clicking on your options permits a range selection, and holding down the 'Ctrl' key allows individual selection of additional fields.

If an address type is not selected, the default address as defined in TASS.web Student Admin > Parent Records > Setup Information > Parent Records Setup will be displayed.

Use this field to select residential or individual parent addresses in complex split family situations.

Report Title

The default report name is ‘PARENT ADDRESS LISTING’. You can modify the title in this field if needed.

Click ‘GO’ to generate the report based on your selections.
