PAC - Student Billing Grid

This program provides a tool to simultaneously display and update multiple students' user-defined billing flags.

This can be a much quicker and more efficient way of updating billing flags than doing them individually using TASS.web program Student Admin > Student Records > Student Information > Students.

It populates the data into a grid-style display where it can be modified in bulk within the columns.

Upon entry to this program, the multiple tabbed 'Student Billing Grid Entry' screen will be displayed.

Fields in the 'General', 'UD' and 'Billing' tabs can be used as selection criteria to filter the data.

Various 'drop-down' fields allow you to make multiple selections. Holding down the 'Shift' key while clicking on your options permits a range selection; holding down the 'Ctrl' key enables selection of discrete (individual) criterion.

Once you have made your required selections, select the 'Process' tab. Here you may define your sorting options for processing, as well as selecting the student billing flags that you want to work on.

These student billing flags are set up in Student Admin > Student Records > Setup Information > Student Records Setup on the 'User Defined' tab, and defined against individual student records in Student Admin > Student Records > Student Information > Students, on the 'Billing' tab.

Make your required selections and click on the 'Go' button to display the 'Student Billing Grid Entry' screen populated with any student billing flags already predefined against your student selection.

Once the data grid has been populated, data will be displayed within columns. Click an individual cell to make a change.

Fill Down Button

Use this button to replicate the data from one cell down the entire column. This grid also supports a partial replication of data down a column.

To achieve this:

  1. Position the mouse in the bottom right-hand corner of the cell that you want to replicate the data from.
  2. Drag it down the column across the cells that you want to replicate the data to.

If you make a mess, use the 'Restore' icon to undo your changes.

Data Locking

When you first load data into this grid the system will create a 'lock' on the records that you load so that no one else can update them whilst you are doing so.

The lock will only remain in place for a designated period. Therefore if you work in the grid without saving beyond the period of the lock, potentially someone else can establish a new lock and you may not be able to save your changes. It recommended that you save regularly!

The amount of time that a lock is held by users in a grid is determined by the gridlocktimeout value in the tassweb.ini.

Click on 'Save' to commit your changes to the database. Upon completion of the save, the grid will be automatically re-loaded with the records that match the search criteria used initially.

This will take fresh locks on the records.

Or select the 'Cancel' button to return to the selection screen.

This will release the locks on the records.

You can print or export this grid to Excel by clicking the 'Print' button.

Important!

You must save any changes you have made in the grid first before printing.

This procedure would normally be processed by your Administrator and your school may have security restrictions on this program. Please refer to your Administrator for more information regarding those restrictions and any specific requirements your school may have regarding changing of data.

Users can view the 'Student Billing Grid' when the following permissions are assigned in TASS.web program System Admin > Users > Security Role Permissions.
