How to Transition Year 11 students starting Year 12 in Term 4
Use this checklist to transition the Year 11 cohort starting Year 12 in Term 4.

1 | Setup in Term Mode | Go to Student Admin > Student Records > Setup Information > Student Records Setup on the Student Records tab.
Important! These settings should never be changed mid-year. |

2a | Generate Academic Reports for Non-Unitised Timetables | Go to Student Admin > Academic Reporting > Report Processing > Generate Student Reports. For Non-Unitised Timetables, ensure Year 11 Academic Reports have been generated and published. |

2b | Generate Academic Reports for Unitised Timetables | Go to Student Admin > Academic Reporting > Report Processing > Generate Student Reports. For Unitised Timetables, you can generate reports at this time if required. This step can be skipped. |

3 | Archive Year 11 Academic Reporting | Use program Student Admin > Academic Reporting > Special Processes > Copy Data to Archive. Ensure the Year 11 Reporting Period has been archived. |

4 | Enter Date of Leaving | Go to Student Admin > Student Records > Year End Processing > Enter DOL for Seniors. At the end of Term 3, use this program to enter a 'Date of Leaving' for Year 12 students only. |

5 | Advance Year Groups | Use program Student Admin > Student Records > Year End Processing > Advance Student Year Groups.
Once this process is complete, no students should be left in Year 11. |

6 | Student Subject Allocation | When allocating subjects to Year 11 students in Term 4, the Subject and Class combination should be different to the students in Year 12 so that you can differentiate the Year 11's and Year 12's throughout the software. Refer to Timetable Rollover Checklist (Year and Term/Semester). |
