How to Transfer Students from one Subject Class to another

The following checklist explains how to change students from one subject class to another when Reporting Periods are already active in Staff Kiosk Assessment.

TASS.web Student Admin > Student Records > Student Information > Students

Search for the Student to be updated, then click the 'Subjects' tab.

Locate the Subject and click 'Edit' in the Action column.

Update the 'Class' field to reflect the new class.

Update the 'Date Range' to reflect the change.

TASS.web Student Admin > Student Records > Student Information > Students on the 'Timetable' tab

Click on the 'Timetable' tab for the selected student.

Check that the new 'Subject Class' appears correctly on their timetable.

Staff Kiosk Assessment > Markbook

Select the previous Teacher's name from the 'Teacher Selector'.

To use the ‘Teacher Selector’ feature, the HOD or Department Administrator must complete this step.

Click the Activity Assessment’ link for the previous Subject Class.

Check if Activity Results have been entered for the Subject Class this Semester.

  • If Activity Results have not yet been entered this Semester, go to Step 4.

  • If Activity Results have been entered this Semester, go to Step 5.

Staff Kiosk Assessment > Activity Planner

Complete this step if Activity Results have not been entered for this Semester.

Remove the Student from each upcoming Activity that is currently assigned to their old Subject Class:

  1. Go to Staff Kiosk Assessment > Activity Planner and filter the search to display the old Subject Class (that the Student was in before the change).

  2. Click the 'Activity Name' link for an activity the Student needs to be removed from.

  3. Click the 'Assess' link in the same row as the Students name.

  4. Click the 'Remove this Student' button.

  5. Repeat this process for all upcoming Subject Class Activities that the Student will not be completing.

Assign the Student to each upcoming Activity that they will be completing in their new Subject Class:

  1. Go to Staff Kiosk Assessment > Activity Planner and filter the search to display the new Subject Class (that the Student is moving into).

  2. Click the 'Activity Name' link for an activity the Student needs to be assigned.

  3. Select the 'hamburger menu', then 'Add Extra Students'.

  4. Select the Student's name from the 'Choose from these Students' list, then click 'Add' to move them across into the 'Assign Activity to these Students' list.

  5. Repeat this process for all Subject Class Activities that the Student needs to complete.

  6. Go to Staff Kiosk Assessment > Markbook > Activity Assessment and check that the Student appears in the markbook correctly.

Staff Kiosk Assessment > Activity Planner

Complete this step if Activity Results have already been entered for the Subject Class this Semester.

Determine which Teacher will be assessing the remaining Activities for the Semester.

The Teacher who is assessing must assign the Student to all of the remaining Activities:

  1. Go to Staff Kiosk Assessment > Activity Planner and filter the search to display the new Subject Class (that the Student is moving into).

  2. Click the 'Activity Name' link for an activity the Student needs to be assigned.

  3. Select the 'hamburger menu', then 'Add Extra Students'.

  4. Select the Student's name from the 'Choose from these Students' list, then click 'Add' to move them across into the 'Assign Activity to these Students' list.

  5. Repeat this process for all Subject Class Activities that the Student needs to complete.

  6. Go to Staff Kiosk Assessment > Markbook > Activity Assessment and check that the Student appears in the markbook correctly.

The Teacher who is not assessing must mark the Student exempt from the remaining Activities:

Do not 'Remove this Student' as this will affect the Final Activity and Overall Result Calculations.

  1. Change the Student's Activity status to 'Exempt' for the remaining Activities in the Semester by going to Staff Kiosk Assessment > Activity Planner, then click on the Activity, then update the status to 'Exempt' in the same row as the Student's name.

  2. Go to Staff Kiosk Assessment > Markbook > Activity Assessment and check that the Student appears in the markbook correctly.

You might like to create a new Exempt Activity status for 'subject or class change' in Staff Kiosk program Assessment > Exempt Activity Status (Setup).
