SLS - On Hold Maintenance (SU)

Overview

The School Shop ‘On Hold Maintenance’ program is used to enter the students who are to be excluded from making account purchases through school shops.

Examples may include:

  • Students who have exceeded school account guidelines for shop purchases.

  • Parents have notified the school that their child is not to buy on account from the school shops.

On Hold Maintenance Grid

This grid contains a summary of students who are currently excluded from making account purchases through school shops.

To 'View' or 'Edit' an existing student 'On Hold' status, click on the associated link in the Action column next to the student details.

Description

Code

The Student Code

Student Name

This field displays the Student’s Name.

Status

The student’s current enrolment status.  Options include 'Enrolled', 'Current', or 'Non-Current'.

Date of Entry

For Non-Current and Current Students, this field displays the Date of Entry (DOE). If the student has an' Enrolled' status and has yet to enter the school, the 'Entry Year' will be displayed instead.

Year

The Student’s Year Level from their Student Record.

Class

The Student’s Form Class from their Student Record.

PC/Tutor

The Student's PC/Tutor Group code from their Student Record.

House

The Student’s House code from their Student Record.

Boarder

Their Student’s Boarding status from their Student Record.

Y = Student is a Boarder

N = Student is not a Boarder

Campus

The Student’s Campus from their Student Record.

On Hold

Y = The student account is on hold, and this student will be prevented from purchasing from all school shops.

Action

The Action column contains links to View, Edit and Delete each On Hold record. Refer to the information below for more information about each action.

Adding a New Hold

To add a new 'On Hold' status for a student, click the 'New Hold' button to display a blank 'On Hold Maintenance Details' screen.

Student Code/Name

Enter the student to be placed on hold. 

Enter a valid student code or use the 'Binoculars' icon to search.

To search for and allocate holds to enrolled students:

  • the enrolled student record must be associated with a Parent Record stored in TASS.web Student Admin > Parent Records > Parent Information > Parents.  For more information on transferring Enrolled Parents from the enrolment phase to a Parent Record, refer to TASS.web Student Admin > Enrolments > Enrolment Information > Transfer to Current.      

  • the student’s enrolment status must meet or exceed the minimum enrolment status stage defined in TASS.web Student Admin > Enrolments > Setup Information > Enrolments Setup on the ‘Enrolments’ tab. The Student Enrolment Status is set in TASS.web Student Admin > Enrolments > Enrolment information > Enrolments > Enrolled Student on the ‘Status’ tab.

These fields will automatically populate information for each student when a their details are selected in the field above.

On Hold

When this flag is set to 'Yes' this student will be prevented from purchasing on account from all school shops.

When satisfied with your entry, click the 'Save' button to commit your changes to the database or 'Cancel' to return to the selection screens.

Print

Use the print button to export a copy of the information currently displayed in the On Hold Maintenance grid.

Sort By

The default is for the report to be sorted by Student 'Surname’. Alternatively, you can elect to sort by Student 'Code'.

Formatting Options

Choose the 'destination' of the report. This can be done with Adobe® PDF viewer, Microsoft Excel® or Microsoft Word®.

Tick the 'Show Table Borders' checkbox to enhance the report's readability.  

Tick the 'Alternate Row Colours' checkbox to enhance the report's readability.

'Show Table Borders' and 'Alternate Row Colours' are unavailable when you 'Export to Excel®'.

Click ‘GO’ to generate your report.
