School Calendar

This program allows you to:

  • View the school calendar.

  • Create new calendar events.

  • Edit existing calendar events.

  • Create new daily notices.

  • Edit existing daily notices.

When you access the program, the School Calendar Search screen allows you to enter Calendar Criteria in order to display the calendar to include just those events and daily notices that meet your search criteria.

Alternatively, the full school calendar can be viewed by leaving each criteria set to 'All'.

Filters and Navigation Options

You can use the filters at the top of the screen to return a particular list of events and notices.

  • Category.

  • Campus.

  • Resource.

  • Year Group.

  • Date.

Holding down the 'Shift' key while clicking on your options permits a range selection, holding down the 'Ctrl' key while clicking, enables selection of multiple fields.

Click Go to view the school calendar.

The School Calendar will initially display using the default view (day, week or month) that has been defined by your school.

You can change this to a 'Day', 'Week' or 'Month' view.

When 'Month' is selected, a Print option will be available.

Use the < and > buttons to move backward and forward through the calendar views. Click Today to return to the current day.

Click on the name of the event to access more information regarding an event. 

A paperclip icon may display if an attachment is available, and when clicked, the attachment will open.

Use the 'Save to Calendar' option to download an event as an appointment (in iCal format) to your calendar product, i.e. Outlook.

Use the 'magnifying glass' button to increase or decrease the time slots (in Day or Week views only).

If there are Daily Notices recorded, a the 'pin' icon will appear on the calendar.  Click this icon to view the Daily Notices.

Event Options

Click an event title to view information about the event.

Click the 'Save to Calendar' icon to download an event as an appointment (in iCal format) to your calendar product (i.e. Outlook).

Click the 'Edit' button to edit an existing event.

Click the 'Delete' button to delete an existing event (this is followed by a 'Delete Event' confirmation modal which includes the event title and the message 'Are you certain you wish to delete this Event?' Yes/No). 

Adding a New Event

To create a new event or daily notice. you can either:

  • Click on a date, then click the 'Create' button.

  • Click the 'Create' button in the top right corner of the screen.

Fields that require further explanation

Title*

Up to 40 characters.

A school calendar event can automatically be created when an event is approved using Staff Kiosk program Events > Event and Payments - Details.

After the event is created, the details of the calendar event are linked to the Event or Payment. The 'Event Name' is linked to the 'Event Description' field in Staff Kiosk program Events > Event and Payments - Details.

Category*

Event Categories are pre-defined by your school in Staff Kiosk program Calendar > Event Categories (Setup).

Campus

Indicates the school campus that this event or notice belongs to.

All Day Event

Tick this field to indicate that the duration of this event or notice is an entire day, i.e. There are no start/end times.

A school calendar event can automatically be created when an event is approved using Staff Kiosk program Events > Event and Payments - Details.

After the event is created, the details of the calendar event are linked to the event. This field is not editable if the event is linked to an Event.

Event Start/End Dates*

Use these fields to indicate the calendar day(s) that this event or notice will be displayed.

A school calendar event can automatically be created when an event is approved using Staff Kiosk program Events > Event and Payments - Details.

After the event is created, the details of the calendar event are linked to the event/payment. The 'Event Start/End Dates' are linked to the 'Start Date/Time' and 'End Date/Time' fields in Staff Kiosk program Events > Event and Payments - Details.

Event Start/End Times*

Use these fields to indicate the times that this event or notice will be displayed for.

A school calendar event can automatically be created when an event is approved using Staff Kiosk program Events > Event and Payments - Details.

After the event is created, the details of the calendar event are linked to the event. The 'Event Start/End Times' are linked to the 'Start Date/Time' and 'End Date/Time' fields in Staff Kiosk program Events > Event and Payments - Details.

Recurring

Allows the event or notice to be set up with a recurrence, e.g. Weekly for the next 10 weeks. 

Once a repeat event type has been selected, additional fields that relate to that recurrence type will be displayed.

After the event is created, the details of the calendar event are linked to the event. This field is not editable if the event is linked to an event.

Description*

Up to 4000 characters.

After the event is created, the details of the calendar event are linked to the event. The 'Event Description' is linked to the 'Event Description' field in Staff Kiosk program Events > Event and Payments - Details.

URL

Enter a website address into the 'URL' field.

Websites must be prefixed with one of the following:

  • http://

  • https://

  • ftp://

  • ftps://

The program will automatically prefix your URL with http:// unless an alternative prefix is entered.

Attachment

Click Choose File and navigate to the location of the file you wish to attach to this notice.

Once this notice has been saved, users will see a 'paperclip' icon which signifies that an attachment is available.
The attachment can be deleted by editing the event and selecting 'Delete Attachment'. 

Resource

Indicates the room or facility the event will be held in (where applicable).

Resources can be:

  • Rooms that are setup through TASS.web program Student Admin > Timetable > Setup Information > Timetable Setup.

Check Existing Use

If this box is ticked you will be advised (when the event or notice is saved) if the Event Resource is already in use in either the calendar or timetable. 
This is only a warning and will not prevent the event from being saved.

Visible In

Indicates the portal product that the event or notice will appear in. 

By checking all the boxes the notice will be available to all users in Parent Lounge, Staff Kiosk, Student Café and the Public Calendar.

When a calendar event has a year group(s) defined, parents will only be able to see the calendar events and notices that match the year group(s) of their students.

Colour

Select the colour that this event or notice will be display in.

Colours are only applicable to calendar events (not notices).

Select Year Group/s

Indicates the year groups that this event or notice will be displayed for. This field is optional and single or multiple year groups can be selected.

If you enter a year group(s) against notices, then respective users (Teachers, Parents and Students) will be able to filter their view to display notices that relate specifically to their year group(s).

Click 'Save' when complete.
