Approving an Event and Payment
Events awaiting approval are displayed on the ‘Events and Payments’ screen with the status ‘Outstanding.'
To approve an event, select the 'Approve’ option from the Event hamburger menu.
When a new Event and Payment are created, a Staff Kiosk Notification will also appear in the Notifications section of the Staff Kiosk Toolbar for each teacher or non-teacher with permission for the 'Approve Events' program.
For example, 'A new event 'Ski Trip' is awaiting approval'.
This notification also contains a link for approvers to be taken directly to the event/payment for review and approval.
The Event/Payment Details appear at the top of the screen, where the approver can review and/or edit the information entered by the staff member when they created the Event or Payment.
An additional ‘Approval Information’ section appears at the bottom of the screen, containing the following fields for approvers:

* Approver's Notes | This is a mandatory field. Enter a note relating to the approval of the event. e.g. Approved by the Principal. |
Schedule Portal Publish | This field can be selected by the creator of the event or by the approver. Tick this checkbox to nominate when the Event/Payment information is to be published in Parent Lounge and Student Café. The date/time field will then appear, where you can enter the date and time for the details to be published. The date/time must be greater than today's date and more than 24 hours before the start date and time of the event. Leave this checkbox unticked if you want the event information to be published in Parent Lounge and Student Café at the same time as the Event is approved. |
Add a School Calendar Event for this Event? | Tick this option to automatically create a calendar event for this event in the School Calendar. The details of the calendar event will be linked to this event, including the Event Description, Start and End Dates and times. Select the 'Year Group(s)' and 'Campus' fields if the event should be limited to display to students within these sections. If left blank, all students will be able to view the event. The ‘Resource’ field lets you select a Room or Resource for the Event. Choosing a resource here will book it in the Staff Kiosk Staff > Resource Booking System. The 'Add a School Calendar Event for this Event' option will only be available:

Approvers can edit or update some details of the calendar event in Staff Kiosk Calendar > School Calendar. Approvers can remove the event from the calendar by Editing an Event, or via the ‘Delete’ button in Staff Kiosk Calendar > School Calendar. If the event is cancelled but the calendar event is not removed, the calendar entry will be prefixed by the text 'CANCELLED'. A Calendar event cannot be removed if it is being used by PC Entries. |
Select ‘Submit Approve’ to commit your change to the database or select the 'Cancel' button to return to the 'Events and Payments' list screen.
The event will be published on Parent Lounge and Student Café as soon as it is approved. Alternatively, if a ‘Schedule Portal Publish’ date and time have been nominated, the event will be published in Parent Lounge and Student Café at that scheduled time instead.
A Staff Kiosk Notification is automatically created for the staff member who created the event to notify them that it has been approved. It will appear in the Notifications section of the Staff Kiosk Toolbar.
For example, ‘A new event, ‘Ski Trip,' has been approved.’
After the event receives approval, only users with the 'Events and Payments (Approve)' permission can edit the event details, including the event description, dates, times, and other information.
Once approved, additional status options appear in Edit mode. Approvers can change the status to Closed, Cancelled, or Finalised as needed.
