Approving an Event and Payment

Events awaiting approval display in the Events and Payments List with the status of 'Outstanding'.

Click on the hamburger menu of an outstanding event to access the Approve action.

Permission required.

Staff with the 'Events and Payments (Approve)' permission are able to approve events.

This is a mandatory field.

Enter a note relating to the approval of the event, e.g. Approved by the Principal.

Add a School Calendar Event for this Event?

Tick this option to automatically create a calendar event for this event in the School Calendar.
The details of the calendar event will be linked to this event, including the Event Description, Start and End Dates and times.

Select the 'Year Group(s)' and 'Campus' fields if the event should be limited to display to students within these sections. If left blank, all students will be able to view the event.

The 'Add a School Calendar Event for this Event' option will only be available:

  • where an 'Event Category' and 'Event Display Colour' has been defined in Staff Kiosk program Events > Parameters (Setup).

  • to users who have the 'Events and Payments (Approve)' permission.

The event will be visible:

  • to teachers in Staff Kiosk School Calendar.

  • on student eDiaries in Student Cafe and Parent Lounge if the student has the 'Accepted' status.

Approvers can edit or update some details of the calendar event in Staff Kiosk program Calendar > School Calendar (Maintain) or School Calendar (View).

Approvers can remove the event from the calendar by Editing an Event, or via the Delete button in Calendar > School Calendar (Maintain) or School Calendar (View).

If the event is cancelled but the calendar event is not removed, the calendar entry will be prefixed by the text 'CANCELLED'.

A Calendar event cannot be removed if it is being used by PC Entries.

Select Submit Approve to commit your change to the database or select the 'Cancel' button to return to the 'Events and Payments' list screen.

The event will be published on Parent Lounge and Student Café as soon as it is approved. Alternatively, if a Schedule Portal Publish date and time has been nominated, the event will be published in Parent Lounge and Student Café at that scheduled time instead.

A Staff Kiosk Notification is created automatically for the staff member who created the event to notify them that it has been approved.
     eg 'A new event 'Ski Trip' has been approved'.

A user must have the 'Create Teacher Kiosk Notifications (Individual)' permission to generate a notification. Use TASS.web program System Admin > Users > Portal Security Permissions to create Staff Kiosk User Roles and to assign teachers into them.
