How to Setup the Attendance Self Registration Portal (ASR)

Overview

Read the overview of how the 'Attendance Self Registration' system operates. 

This is available within the online help for program Student Admin > Attendance > Setup Information > Attendance Setup on the 'Self Registration' tab.

System Admin > Utilities > Printer Definitions.

Ensure the docket printer that will be used to print attendance slips (e.g. late slips) has been configured.

Student Admin > Attendance > Setup Information > Attendance Setup on the 'Self Registration' tab.

Review the settings and configure the appropriate options.

If your school has set up multiple ASR terminals and docket printers, leave the 'Docket Printer' field blank.

When the ASR system is logged in, the user will be directed to a second screen where he/she will be able to nominate the docket printer that belongs to the terminal.

Student Admin > Attendance > Setup Information > Attendance Setup on the 'Absentee Reasons' tab.

Configure the reasons that are to be used with the ASR system.

The ASR system is designed to display up to 15 reasons if the screen resolution and screen modes match the recommended settings specified in points 7 and 8 below.

Student Admin > Attendance > Setup Information > Attendance Setup on the 'Contact Info' tab.

Ensure the 'Email' and 'Name' fields contain the correct details. 

These fields will become mandatory if either of the options 'Email details of failed login attempts' or 'Email attendance confirmation to students' is checked on the 'Self Registration' tab.

Logo Image.

Optional.

Replace the default logo image file provided (default is the TASS.web logo) with your own school logo. The image file to be replaced is named schoollogo.gif and is located on the webserver in the folder:

x:\tassweb\webroot\external\asr\images\

The height of the image file should be 120 pixels.

Background Image.

Optional.

Insert a background image to provide a custom background to the ASR system.

The background image should be called bg.gif and should be placed on the webserver in the folder:

x:\tassweb\webroot\external\asr\images\

The maximum image size is 1420 x 644 pixels. Images that are smaller than this size will be tiled within the 1420 x 644 panel that is available within the ASR system.

Screen Resolution.

Review the screen resolution for the computers that will be used by the students with the ASR system. 

The recommended screen resolution is 1440 x 900 pixels.

Swipe Card Reader.

Optional—Install a swipe card reader onto each of the ASR machines being used. 

Student identification cards will need to use the 'Student Code' or 'Alternate ID' as the card value for each student.

Test.

Test the ASR system by logging into the portal using the machines that will be used by the students. 

The URL to access the portal is:

https://[domainname]/tassweb/external/asr/index.cfm

Once the page has loaded, press the F11 key to display the portal in full screen. This will also hide the URL and browser buttons.

You will need to know the Self Registration Password to access the portal.

Important!

If a live test is carried out using a real student record, then ensure the 'Email attendance confirmation to students' option is disabled.

If you are using LDAP mappings for student passwords, you must limit the size of the passwords to 18 characters. If passwords are longer than 18 characters, then students will not be able to log into ASR.

Check absences are being correctly recorded in the portal audit log.
