Can I use the Pastoral Care module to contact students or parents about outcome non-attendance?

When a student fails to attend a scheduled Pastoral Care Outcome (e.g., detention) and you need to contact the student or parent, there are a few options that you can use in the Pastoral Care module.

To contact Parents, you can:

  • Go to Staff Kiosk Pastoral Care > PC Entries. View the relevant PC Entry and click ‘Show Parent Contact Info’ to see parent details, including phone numbers, and send an email to an individual parent.

  • Go to Staff Kiosk Pastoral Care > PC Entries (Lists/Emails). Select the appropriate filters, then choose ‘Generate Emails’. This is the recommended method, as it ensures all parents with the ‘Staff Kiosk Correspondence (SK Corr)’ Communication Rule receive the correspondence.

To contact Students, you can:

  • Go to Staff Kiosk Pastoral Care > PC Entries (Lists/Emails). Select the appropriate filters, then choose ‘Generate Emails’. This is the recommended method, as it ensures all parents with the ‘Staff Kiosk Correspondence (Staff Corr)’ Communication Rule receive the correspondence.

Example

Some suggested filters are:

  • Outcome

  • Completed: No

  • 'Show' More Filters > Calendar Event

  • Export to: Generate Emails

The ‘Calendar Event’ field appears only when you select an ‘Outcome’ linked to a school calendar event category.

Email templates for PC Entries (Lists/Emails) can be set up and maintained in TASS.web System Admin > Utilities > Email Settings, under the 'Email Templates' tab, by selecting 'Pastoral Care (PASCAR)' as the email category.

Emailing students and parents from Staff Kiosk records correspondence in the students' Communication Log on their Student Profile.
