Audit Logs Grid

Overview

The ‘Audit Logs Grid’ program allows viewing and exporting system audit logs for Login History (TASS.web and all TASS Portal Products), TASS API Connections, Data Upload Utility, Parent Lounge Updates, and Calendar Sync.

The Audit Log records:

  • Each bulk data update that has been completed using TASS.web System Admin > Utilities > Data Upload Utility.

  • Successful and failed login attempts to TASS.web, and TASS Portal Products: Staff Kiosk, Student Café, Parent Lounge, and Commercial Debtors Portal. The Type column shows ‘GHOST’ for logins via the Ghosting function.

  • Successful and failed connections to APIs configured in TASS.web System Admin > Utilities > API Gateway Maintenance on the 'TASS APIs' tab.

  • Updates submitted via Parent Lounge, including Addresses, MCEECDYA, Occupation, and Medical information and update status such as ‘Processed' or 'Rejected' when the change has been processed through the relevant 'Updates from Parent Lounge’ program in TASS.web.

  • Successful and failed Staff Kiosk Calendar Feed Sync requests.

This program can be accessed by navigating to TASS.web System Admin > Utilities.

Parent Orbit-related login history can be viewed from the ‘Parent Statistics tab’ in TASS.web System Admin > Orbit > Orbit Dashboard. Click ‘See More’ next to ‘Active Login Sessions’ or ‘Expired Login Sessions’ to view access details.

You can use this program to troubleshoot login issues. e.g., If the entity code is not listed here, this may indicate a SAML/LDAP issue is occurring before communication with the TASS server. If you need assistance troubleshooting, contact TASS Customer Care for guidance.

User Security Permissions

Access to this program is controlled by the ‘Audit Logs Grid’ security point in the ‘Administration’ section of TASS.web System Admin > Users > User Maintenance or TASS.web System Admin > Users > Security Role Permissions.

Contact your school’s TASS System Administrator for access.

Display Filters

The 'Audit Logs Grid' screen will display a list of audit logs for the current week and the company you are currently logged into.

Use the filter options at the top of the screen to filter the list by:

Details

Date Range

This tool makes it easy to specify a date range based on:

  • Today 

  • Tomorrow 

  • This Week (Monday to Sunday).

  • This Fortnight (Monday to Sunday).

  • This Semester.

  • This Year (Based on the current calendar year) 

Alternatively, you can clear the dates and pick a new 'From' and 'To' range.

Filter using 'All Sources' or by:

  • Data Upload Utility.

  • Login History.

  • TASS APIs.

  • Parent Lounge Address Updates.

  • Parent Lounge MCEECDYA Updates.

  • Parent Lounge Occupation Updates.

  • Parent Lounge Medical Updates. 

  • Calendar Sync.

Company

If your school has more than one company, use this filter to include audit logs from other companies.

Product

Filter using 'All Products' or by:

  • Commercial Debtors.

  • Parent Lounge.

  • Student Café.

  • TASS.web.

  • Teacher Kiosk (now called Staff Kiosk).

  • TASS API.

  • ASR.

This program references 'Teacher Kiosk'.  From Version 53, 'Teacher Kiosk' was renamed 'Staff Kiosk'.

Audit Logs Grid

The Audit Logs Grid displays the following columns of information.

Use the ‘Display Filters’ mentioned above to refine the data that is displayed in the grid.

Click on a column header to utilise the 'sort by' feature. Alternatively, shift-click on several column headers to sort by multiple columns.

Data Upload Utility

When ‘Data Upload Utility’ is listed as the source, the Audit Log displays a record of each time a bulk data update has been completed using TASS.web System Admin > Utilities > Data Upload Utility.

Login History

When ‘Login History’ is listed as a source, the Audit Log displays both successful and failed attempts to log in to TASS.web, and TASS Portal Products: Staff Kiosk, Student Café, Parent Lounge and the Commercial Debtors Portal. The Type column will display the text ‘GHOST’ when a login occurs using the Ghosting function. 

TASS APIs

When ‘TASS APIs’ is listed as a source, the Audit Log displays both successful and failed connections to APIs set up in TASS.web System Admin > Utilities > API Gateway Maintenance on the 'TASS APIs' tab.

Parent Lounge Updates

When ‘Parent Lounge Updates’ is listed as a source, the Audit Log displays information about any Addresses, MCEECDYA, Occupation and Medical updates submitted through Parent Lounge and the Status of the update, e.g. 'Processed', 'Rejected' through TASS.web.

Calendar Sync

When ‘Calendar Sync’ is listed as a source, the Audit Log displays both successful and failed Staff Kiosk Calendar Feed Sync Requests.

           

Company

The Company code of where the change was made, where you have multiple companies set up.

Product

The product in which the change was made:

  • CD - Commercial Debtors

  • PL - Parent Lounge

  • SC - Student Cafe

  • TASS - TASS.web

  • TK - Teacher Kiosk

  • TASS API - API Gateway Maintenance API Connection

  • ASR - Attendance Self Registration System

This column references 'TK - Teacher Kiosk'.  From Version 53 'Teacher Kiosk' was renamed 'Staff Kiosk'.

Entity

The Entity Code of the Student Record, Parent Record, Employee Record, Person Record or User Account for which the change has been made.

Log Datetime

The date and time that the audit log was recorded.

Remote Host

Details of the user's connection.

Remote Address

Details of the user's connection.

Type

Details of the user's connection.

TASS

The action was performed by a TASS/TASS Portal Product User Account.

GHOST

The action was performed by another user who was GHOSTED/logged in as the TASS/TASS Portal Product User Account. Hover over the info icon to see the name of the user who logged in to the entity code.

Status

Details of the user's connection.

HTTP User Agent

Details of the user's connection.

SSO Username

Details of the user's connection.

SFA Number

The ‘SFA' number of the Entity Code when the parent has Split Family Access enabled.

Details of the user's connection.

Printing Audit Logs

The ‘Print’ button at the top right generates an Excel .xlsx file listing the entries shown in the ‘Audit Logs Grid’.
