Student Attendance Report Overview
This program produces a report of student absentees grouped by student or an Excel file in the DEST file format.
It can be run for an individual student or for a group of students.
The report can be produced using three different layouts:
- Detailed.
- Summary.
- DEST file format (Australian schools only).
The DEST file format option renders into an Excel file and contains summary absentee information for male/female and indigenous male/female.
General and UD Tabs
You can use any combination of fields on the 'General' and 'UD' tab to filter the data produced in the report. A 'Date' must be entered.
To run the report for a single student, enter a 'Student Code'.
To run the report for a group of students leave the 'Student Code' field blank and use the other fields on this tab to select the required student group.
The 'Parent Acknowledgement' dropdown list allows you to filter based on one or more of three potential statuses:
- No (No parent acknowledgement for this absence record).
- Yes (An acknowledgement has been entered by a teacher or administrator).
- PL (An acknowledgement has been entered by a parent through Parent Lounge).

Sort Absentees By
This will determine the order that attendance records are displayed against each student.
Sort Students By
This will determine the order that records are displayed in the report.
Formatting Options
Choose the 'destination' of the report. This can be to Adobe® PDF viewer, Microsoft Excel® or Microsoft Word®.
Use the checkboxes on the right side of the screen to indicate your preference for displaying 'Alternate Row Colours' and 'Table Borders'. These can enhance the readability of the report.
Extra checkbox options are available to 'Include Extended Absences', 'Page Break by Student' and 'Include Bar Chart'.
The bar chart will only be displayed when generating a 'Summary' report and plots the number of absences for a student across the 5 days of the week.
Report Type
Use the dropdown list to choose detailed, summary or DEST Student Attendance format. The DEST report is only available to an Excel option. This is to enable the production of a CSV file to send to DEST.
A 'Detailed' report displays the following report fields: 'Date', 'Absence Type', 'Reason', 'Acceptable' flag and 'Comments'.
A 'Summary' report displays students' absences by 'Absence Type' and the number of occurrences over the five days of the week for the nominated date range in a table style format.
Report Title
Use this field to change the title that appears at the top of the report.
DEST Student Attendance
The Student Attendance Report provides the facility to produce a 'STATS' (The Student Attendance System) file for ultimate upload of your school's attendance data to DEST (Department of Education, Science and Training).
The Excel sheet produced will need to have your DEST school number added before uploading. Enter a 'Start Date' and 'End Date' in the 'General' tab and select the 'Exclude Absentees with Acceptable Reason' checkbox.
From the dropdown list on the 'Print' tab select 'DEST Student Attendance'.
Click the 'GO' button to generate the Excel file.
This file will have to be opened and the DEST school number entered before uploading to DEST.
