TT - Timetable Tab (SU)

Overview

The ‘Timetable’ tab in Timetable Setup is where the system parameters for the Timetable are set up.

Upon initial entry to this program, you will be placed in 'Add' mode. Enter your required parameters and click the 'Save' button.

On subsequent entry to this program, you will be able to select the 'Edit' icon to change selected parameters. Make your changes, then click the 'Save' button to commit them to the TASS.web database.

Fields that require further explanation

Maximum number of Days

The maximum number of days in the timetable cycle. This number can be between 1 and 25 inclusive. In its simplest form, a Monday-to-Friday timetable will have 5 days.

Maximum number of Periods

The maximum number of periods to be defined for any one timetabled day. This number can be between 1 and 30 inclusive.

Current Year

This setting indicates which timetable year is currently in use. It will also determine the timetable that is displayed in Staff Kiosk (including Analytics), Parent Lounge and Student Café.

Current Term/Semester

This field name is customisable.

This setting indicates which timetable term/semester is currently in use for the selected ‘Current Year’. It will also determine the timetable that is displayed in Staff Kiosk (including Analytics), Parent Lounge and Student Café.

Important!

The number of terms/semesters available in this drop-down must be predefined and configured in TASS.web Student Admin > Student Records > Setup Information > Student Records Setup.

The title of the ‘Semester’ field is school-definable (therefore, it may not necessarily be 'Semester'). For example, your school may be term-based (as opposed to semester-based); accordingly, this screen may be displaying a description of 'Term'. The setup for this is done in TASS.web Student Admin > Student Records > Setup Information > Student Records Setup.

Multiple Timetables Enabled

This Yes/No flag indicates whether multiple timetables are to be used at the school (defaults to 'N'). If multiple timetables are not set up, you will be prompted for a password to enable this flag. This password is available from the TASS Customer Care.

The decision to enable multiple timetables is based on three critical areas:

  1. Days — Different sections of the schools may require their timetable cycle to be composed of a different number of days.
    For example, the Junior School runs on a 5-day cycle whilst the Senior School runs a 10-day cycle.

  2. Periods — Different sections of the schools may require their timetable days to be composed of a different number of periods, with different start and end times.
    For example, the Junior School operates with 6 periods per day, whilst the Senior School runs a 10-period day.

  3. Calendar — Different sections of the school may require different calendars to be defined in each section.
    For example, the Junior School operates on a 5-day cycle with its own calendar, whilst the Senior School has its 10-day cycle defined within its own calendar.

Important!

Once multiple timetables have been enabled, you will not be able to rollback to single timetable mode. If you are unsure of whether you need to implement multiple timetables, please discuss this with TASS Professional Services or TASS Customer Care prior to implementation.

Multiple Campus Enabled

This Yes/No flag indicates whether multiple campus timetables are to be used at the school (defaults to 'N').

This field will become editable if your school has more than one campus defined in TASS.web Student Admin > Student Records > Setup Information > Student Records Setup on the 'Campuses' tab.

Multiple Campus Timetables can be enabled where:

  • The same year group(s) are offered at more than one campus.

  • The timetable differs between the two campuses.

When set to 'Yes', a timetable must be generated for each campus.

Important!

Once the multiple campus timetables feature has been enabled, it cannot be disabled. If you are unsure of whether you need to implement multiple campus timetables, please discuss this with TASS Professional Services or TASS Customer Care prior to implementation.

Use Timetable Calendar

This field is only visible on this screen in single timetable mode, when the ‘Multiple Timetables Enabled’ field above is set to ‘No’.

It is a read-only field that is set to 'Yes' by default.

The Timetable Calendar must be built using TASS.web Student Admin > Timetable > Setup Information > Timetable Calendar Setup.

When the ‘Multiple Timetables Enabled’ field above is set to ‘Yes,’ this read-only field is visible from the ‘Timetable Definitions’ tab

Allow Teacher & Room Clashes

This field is only available on this screen in single timetable mode, when the ‘Multiple Timetables Enabled’ field above is set to ‘No’.

This Yes/No flag performs a system validation check on teacher and room combinations and disallows clashes when set to 'N'.

If this flag is set to 'N', then on any given day within any given period, the system will disallow the same teacher or room from being timetabled twice.

When the ‘Multiple Timetables Enabled’ field above is set to ‘Yes,’ configure this field from the ‘Timetable Definitions’ tab

Unitised/Vertical Timetable

A ‘Unitised’ (or Vertical) curriculum is one in which students participate in subjects that are not specifically defined against their specific year group.

Example

A high-achieving mathematics pupil who is currently in year 10 may be undertaking a timetabled year 12 mathematics class.

Important!

If you are running a Unitised/Vertical Timetable, then a unique Subject Code must be set up for each 'unit of study'. For example, 'Year 8 English' must have a different subject code from 'Year 9 English'.

Subjects are set up in TASS.web Student Admin > Student Records > Setup Information > Student Records Setup on the 'Subjects' tab.

If you want to switch between a unitised (vertical) and a non-unitised (horizontal) timetable, contact TASS Customer Care for assistance.
