Move a Mother or Father to Another (Existing) Parent Record (Complex Split)

In limited circumstances you may need to move either the father or mother from a TASS parent record to another (existing) parent record to create a Complex Split

Refer to the 'How to handle split family arrangements' guide for a detailed definition.

You can then use the Addresses & Communication Rules on the student record (for each child in the family) to define:

  • The parent/guardian addresses from both the original and other (existing) parent records that teachers will see when using Staff Kiosk.

  • The parent/guardian addresses from both the original and other (existing) parent records that teachers will be able to use for communication for each student in the family when using Staff Kiosk.

  • The parent/guardian(s) from both the original and other (existing) parent records  that the student lives with.

  • The parent/guardian(s) from both the original and other (existing) parent records who is to be the emergency contact.

  • The parent/guardian(s) from both the original and other (existing) parent records who will receive correspondence generated out of TASS.web.

  • The parent/guardian(s) from both the original and other (existing) parent records who will receive Academic Reports (if your school is using the Customisable Academic Reports in TASS.web).

  • The parent/guardian(s) from both the original and other (existing) parent records who will receive SMS notifications for student absentees (if enabled at your school).

This guide assumes that your school's address block structure adheres to the recommendations specified in the ‘Setting Up Parent Addresses in TASS.web’ guide.

Determine if the 'Mother' or 'Father' is to be moved from the original parent record to the other (existing) parent record.

The original parent record is the one with the existing school fee account. Therefore you should move the person who is NOT responsible for the existing school fee account to the other parent record.

You can then incorporate a split billing arrangement with the other parent record if required.

This is the first step in changing a Nuclear or Simple Split family to a Complex Split family.

This guide uses the example of:

  • leaving the father as the original parent record

  • moving the mother to another (existing) parent record.

Therefore if the move that you are undertaking is the other way around, you need to make the appropriate adjustments when following the steps.

TASS.web Student Admin > Parent Records > Parent Information > Parents

On the parent record, use the 'Children Details' section on the 'General' tab, click the 'Edit' link in the 'Action' column to access each student's record.

Set the 'Multi Parenting Arrangements' field on the 'General' tab to 'Yes' for all students who belong to this family. 

To return to the parent record from the student record after setting this flag, go to the 'Parents' tab and click on the 'Edit' button. Do not use the back button in your browser or you will get a record lock.

Alternatively, you can use TASS.web program Student Admin > Student Records > Student Information > Students directly.

On the original parent record, delete the 'Mother' address and update all other addresses to remove references to the mother.

Correspondence

'Parent Name' to reflect the father only. E.g.: Change from: Mr & Mrs EP Clark to Mr E Clark

Address, phone number, salutation and e-mail details should also be for the father only.

Father

Check and if necessary modify the address links so that they link back to the Correspondence Address.

Check and if necessary enter 'Parent Name' and 'Salutation' for the father.

Mother

Delete this address (Make a note of the address details so they can be re-entered in the step below).

Check that the details in the Residential and Billing address blocks correctly reflect the new situation.

Save these changes.

TASS.web Student Admin > Parent Records > Parent Information > Parents

On the original parent record, delete the 'Mother' by removing her name and occupation from these fields on the 'General' tab. 

This will remove the mother from this parent record but her 'Person Number' will be preserved.

Save these changes. 

If both persons on the original parent record are linked to a single Donor record, then you should review this Donor record.

On the other (existing) parent record, add the mother name and occupation on the 'General' tab. 

It is very important that you use the lookup provided to search for the mother's existing person record when adding the mother to this parent record.

You will also need to add a 'Mother' address and review existing addresses.

Save these changes.

On each student's record setup the appropriate rules using the 'Address and Communication Rules' tab.

You will need to add the additional parent for each student where applicable (in the example case mentioned above, the mother, Mrs P Clark) by clicking on the 'Add Parent' button.

Review and adjust the access, addresses, payment methods, and student details available to each parent as required.

You can choose to show or hide unassigned Payment Methods in Parent Lounge. This setup is done in TASS.web program Student Admin > Parent Records > Setup Information > Parent Lounge Setup on the 'General' tab.

TASS.web Finance > Parent Accounts > Billing Cycle > Split Billing Accounts (optional)

If required, create a split billing arrangement between the original parent record and the other parent record.

Testing (optional)

Use the 'Ghost Logon' option in TASS.web program Student Admin > Parent Records > Parent Information > Parents on the 'General' tab, to access the Parent Lounge accounts and review the information available to each parent.
