ENR - Student Enrolments Grid

Student Enrolments Grid Overview

This program provides a tool to update multiple future student records, including:

  • General Information.
  • Status Information.
  • User-Defined.
  • Billing Flags.

You would use this program instead of Student Admin > Enrolments > Enrolments Information > Enrolments when there is a need to change more than one record in the database.

It populates the data into a grid where it can be modified in bulk within the columns.


General, Status and User Defined Tab

Fields from the 'General', 'Status' and 'User Defined' tab can be used as selection criteria to filter the returned data. These tabs are similar to those described in Student Admin > Enrolments > Enrolments Information > Enrolments.

The 'Calendar' icons on the 'General' fields look different to the normal calendar icon. This is because this style of date picker allows the entry of a date range, e.g. All future enrolments with an 'Application Date' between 01/01/06 and 31/12/06. The 'Entry Year' field also includes a number range picker. This one is number based.

Important!

The 'Status' tab can be used to select a group of future enrolled students at a particular stage in the enrolment cycle. Use the 'Process' tab to select the same field to display in your data grid. This then provides a tool to advance individual enrolled students or groups of enrolled students to the next status.


Process Tab

The 'Process' tab controls the columns that will display in your data grid. Select the fields to include in your data grid by highlighting them with a mouse-click. The 'Student Code' and 'Surname' fields are automatically included and are not available for selection.

Holding down the 'Shift' key while clicking on your options permits a range selection, holding down the 'Ctrl' key enables selection of discrete (individual) criterion.

You can also pick the sort order by clicking on the radio button on the left of the screen.

Sort by options includes 'Student Code', 'Surname', 'Entry Year Group' and 'Entry Year'.

When the grid is populated, data will be displayed within columns.

Click an individual cell to make a change.

If you are editing a table-referenced field that requires a code to be entered, click into the cell and either use the dropdown list or key in the code.

Example:

There is a logic built into the selection of 'Stage' fields in the data grid.

When you select a 'Stage' flag field, it will also automatically include the corresponding date field.  It will also force the date to be entered for any corresponding flag field that you set to 'Y.

As outlined in the Student Admin > Enrolments > Setup Information > Enrolments Setup program, stages 3, 6, 7 and 8 are important stages that need to be completed before a future student can be transferred to current.

Because of this, the data grid will also automatically render the preceding important stages. For example, if you select 'Stage 6' then 'Stage 3' will also be rendered.

Use the 'Fill Down' button to replicate the same data down the column. You are not able to use fill down on the Status fields.

If you make a mess, use the 'Restore' button to undo your changes. Unsaved data will be lost.

  • The data will be restored to the last 'Save'.
  • If you have not yet saved, the data will be restored to the way it was when you loaded the Grid.

To sort by a column, click on the column heading.  To sort by multiple columns use shift-click in the second and subsequent columns that you want to sort by. As an example, you may need to sort by 'Priority Points' then 'Date of Application' then 'Religion'. 

To add a new column to your grid without having to go back to the previous screen, right-click on any column heading.

Click on 'Save' to commit your changes to the database or select the 'Cancel' button to return to the selection screens.
