EHR - UD Areas Tab

Overview

The 'UD Areas' tab on the HR Employee Record enables entry of data for up to nine user-defined HR (Human Resource) extended data areas.

This tab can be accessed by navigating to TASS.web Payroll HRM > Employee/HR > Employee Information > Employees.

This information can also be viewed and maintained from the Payroll Employee Record in TASS.web Payroll HRM > Payroll > Employee Information > Employees on the ‘UD Areas’ tab, and Staff Kiosk Payroll/HR > My Payroll/HR > HR UD Areas.

User Security Permissions

Access to this tab requires the ‘Employees’ and ‘---UD Areas tab’ security points to be assigned in the ‘Employee/HR’ section of TASS.web System Admin > Users > User Maintenance or TASS.web System Admin > Users > Security Role Permissions.

Contact your school’s TASS System Administrator for access.

TASS.web User Access to HR UD Areas

Access to ‘View’ or ‘View & Edit’ UD Area data in TASS.web is controlled by the ‘Roles’ link in the Action column of TASS.web Payroll HRM > Employee/HR > Setup Information > Employee/HR Setup on the ‘HR User Defined Areas’ tab. From here, you can assign the relevant TASS.web Security Roles to each UD Area.

Staff Kiosk Access to HR UD Areas

Access to ‘View’ or ‘Edit’ UD Area data in Staff Kiosk Payroll/HR > My Payroll/HR > HR UD Areas is controlled by the [UD Area] permission points in TASS.web System Admin > Users > Portal Security Permissions for Staff Kiosk.

About the UD Areas Tab

The 'UD Areas' tab on the Employee Record enables entry of data for up to nine user-defined HR (Human Resource) extended data areas. Each area includes 50 fields.

Examples of Employee HR data areas could be:

  • Performance Appraisal.

  • Development Stream.

  • Other Interests.

  • Medical Information.

  • WGEA Reporting.

Within each of these areas, there are:

  • 10 x Single character flag fields (0-9, A-Z) which are often used as Yes / No fields.

  • 10 x Table referenced fields (Picklist).

  • 10 x Free form text fields to store information relating to the employees.

  • 10 x Date Fields.

  • 10 x Attachment Fields.

The fields displayed to you in this tab depend on the parameters set up by your school in TASS.web Payroll HRM > Employee/HR > Setup Information > Employee/HR Setup on the 'HR User Defined Areas' tab.

'View' and 'Edit' links are available on each UD area.

Fields can be set up as 'Triggers'.
