BOR - Host Information

This program is used to setup host information and to allocate hosts against boarder records.

An alternative methodology could be to use this program to setup host information and then allocate the hosts against individual boarder records through program Student Admin > Boarders > Boarders Information > Boarders on the 'Hosts' tab.

When processing a leave record (through TASS.web program Student Admin > Boarders > Leave Processing > Boarders Leave) a dropdown list will become available, displaying the hosts that have been allocated against the boarder for whom you are processing leave.

You can use program Student Admin > Boarders > Listings & Reports >Host by Student Report to produce a list of boarders with their allocated hosts.

This is a multi-purpose program that allows you to:

  • Search for existing host records using specific criteria.
  • Produce a screen list of existing hosts that also provides the ability to view or edit host details.
  • Print, export to Excel® or Word® the list of hosts returned by your search.
  • Add a new host record.

Adding a New Host

Click the 'New' icon at the top of the screen to add a new host record.

Viewing and Editing Host Records

To view or edit an existing host record, use the search screen to select records from the database.

You can filter your selection to include:

  • All, current only or non-current only hosts.
  • Hosts with one or more allocated students or no allocated students.
  • Various fields in the 'Host Search Criteria' section of the screen.
  • Various fields in the 'Student Search Criteria' section of the screen.

Click the 'Go' button (or press 'Enter') to execute the search and populate the 'Host Information' screen.

This list screen displays the hosts matching your search criteria initially sorted by host name.

The records on this screen can be re-sorted by clicking on the heading links above the Host List.

Select the 'Print' icon to display the 'Print Options' screen and generate a report on the hosts displayed in the Host List.  Various sorting and formatting options are displayed and you can select the type of file and layout you wish to use. Click on 'Go' to create the report.

Click on the 'View' or 'Edit' Action links to access the host details.

A host can only be deleted by using the 'Delete' Action link when the record has not been allocated against a student.

Fields that require detailed information

Parent Link or

Enrolment Link

If this host is a current parent or enrolled parent, click on the 'Binoculars' icon to find the appropriate database record.


Once you have selected the current parent or enrolled parent record the address information will automatically be derived from their database record.


If the host is not a parent then leave this field blank.
 

Address Link

If this host is a current parent or enrolled parent nominate the address from their database record that you want to use for boarder host information. 


The default address will be used if you do not change this field.
 

Host Details

If the host is not a parent, enter name, address and contact information.


Click the 'Save' button to create the host record.

Students

This tab is used to allocate this host to one or more students.

Adding a Student to This Host Record

To add a new student, click the 'Add Student' button.  Click on the 'Binoculars' icon to find the appropriate database record.

Enter the relationship between this student and the host if known.

When satisfied with your entry, click the 'Save' button to commit your changes to the database or 'Cancel' to return to the selection screens.

Viewing and Editing Students

To 'View', 'Edit' or 'Delete' a student from this host record, click on the associated link.

When satisfied with your entry, click on the 'Save' button to commit your changes to the TASS.web database.
