TT - Timetable Grid Entry

Timetable Grid Entry Overview

This program is the master timetable editing program. It provides a tool to simultaneously display and update multiple timetable cells when there is a need to change one or more records in the database.

It populates the data into a spreadsheet where it can be modified in bulk within the columns.

General Tab

Fields from the 'General' tab can be used as selection criteria to filter the returned data. These tabs are similar to those in Student Admin > Timetable > Timetable Information > Maintain Timetable Details.

The 'campus' field can only be used as a filter if you have set up your timetable to allow the uploading and operation of separate campus timetables.

For more information, refer to the How-To guide 'Additional Steps Required to Load a Campus-Specific Timetable'.

If you want to maintain timetable details for a single campus, select the appropriate campus from the drop-down list.

Selected fields in the 'General' tab allow multiple selections to be made from the drop-down menu for your search criteria. Holding down the 'Shift' key while clicking on your options permits a range selection, holding down the 'Ctrl' key allows individual selection of values.

Process Tab

The 'Process' tab controls the Sorting of the data displayed in the grid.

Sort by options includes 'Day and Period', 'Subject', 'Teacher' and 'Room'.

Once the data grid has been populated, data will be displayed within columns.

The following fields are automatically displayed in the grid 'Day', 'Period', 'Subject', 'Year Group', 'Class', 'Teacher' and 'Room'.

Each row and column contains data from the database, matching your search criteria.

Click an individual cell to make a change.

If you are editing a table-referenced field, the 'Lookup' (binoculars) icon will be displayed at the top of the screen. Select this icon to display the valid data options.

Use the 'Fill Down' icon to replicate the same data down the column.

To start over, use the 'Restore' icon to undo your changes.

Click on 'Save' to commit your changes to the database or select the 'Cancel' button to return to the selection screens.
