Building Fund Report/Merge Overview

This is a multi-purpose program enabling you to generate a list displaying the total year to date Building Fund paid for each parent account. A Word Merge File can also be created to generate a .txt file suitable for merging with a Word letter template. This can be done by entering selection criteria into the 'General' and 'User Defined' tabs.

General, Account Details and User Defined Tabs

These tabs are similar to those described in Finance > Parent Accounts > Account Information > Parent Account Inquiry.

Selected fields in the 'General' and 'User Defined' tabs allow multiple selections.

Print Tab

The 'Print' tab allows you to choose the 'destination' of the report. This can be to Adobe® PDF viewer, Microsoft Excel® or Microsoft Word®.

The 'Print' tab is also used to format the report. Options to sort the report by 'Parent Code' and 'Surname' are available on the left side of the screen.

Use the checkboxes to indicate your preference for displaying 'Alternate Row Colours' and 'Table Borders'. These options can enhance the readability of the report but are not available if producing a Word Merge File or if the listing destination is Excel®.

Extra checkbox options to 'Include Address and Phone Details' and 'Include Student Details' are also available in 'Other Report Options' to enhance the report.

The Address Hierarchy
Field 1

Displays the 'Billing / Account Address' as defined in Finance > Parent Accounts > Setup Information > Parent Accounts Setup. Where a parent has this address this is what will be used in the Word Merge file.

Field 2

This is an optional field that allows you to nominate a secondary address that will be picked up if the parent does not have the address stipulated in 'Field 1'.

Field 3

Displays the default address. This is the address that will be used for any parent that does not have either of the addresses stipulated in Field 1 or 2.

Select the 'Word Merge File' button to generate a .txt file suitable for merging with a Word letter template.

Select the 'Report' button to generate a Building Fund Report.
