Several modules in TASS.web can create files in a format suitable for uploading into AMAS software products, including CP - List Mailer, STR - Labels/Letter Merges, PAS - Labels/Letter Merges, ENR - Enrolments Worksheet, and FUN - Pledge/Donation Merges. The duplicate address functionality in the CP - List Mailer module specifically requires each address to be bar-coded using AMAS software.

Additionally, TASS.web offers an Address Validation API that works in conjunction with AMAS functionality to facilitate the verification and matching of parent addresses upon entry, saving automatic address tokens and geocoding information. When this API is enabled, addresses are checked and matched on entry and saved with address tokens and geocoding.

Current Students are those who are actively enrolled at the school and participating in lessons.

These students have completed the enrollment process, and their Student Records are maintained in TASS.web Student Admin > Student Records > Student Information > Students. Their Student Profile is also visible in Staff Kiosk Student Search > Student Profile.

The Current Student's record/profile can be accessed and maintained through various programs in the system.

When searching for students in the system, users can filter to show only Current Students by selecting the appropriate option in the search criteria.

Outgoing Payments (from the school):

  • Payments made electronically to suppliers through the Accounts Payable system

  • Bank files generated (such as ABA files for Australian schools or BACS.csv files for UK schools) that can be uploaded to banking systems

  • Student deposit refunds processed electronically

Enrolled students are different from current students, who are actively participating in lessons with their profiles maintained in TASS.web Student Admin.

To search for enrolled students, their record must be associated with a Parent Record and their enrolment status must meet or exceed the minimum enrolment status stage defined in the Enrolments Setup.

A new Enrolled Student Record can be created in TASS.web Student Admin > Enrolments > Enrolment Information > Enrolments. You can either complete Detailed Entry (For Enrolment Applications) or Quick Entry (For Enrollment Enquiries Only). You can then use this record to track the stages of your schools enrolment process using the Enrolment Record ‘Status’ tab.

  • Accounts Payable in TASS.web Finance > Accounts Payable > Supplier Transactions > Invoices. There are three methods for creating an accounts payable invoice in the TASS.web Finance system. The first method is manual entry, where you click the 'New' icon on the Invoice Entry screen. The second method enables bulk creation by uploading multiple invoice records using a CSV file. The third option is using the Accounts Payable Integration API, which enables invoices to be passed into TASS from third-party workflow automation solutions without requiring manual entry.

Parent Accounts don’t have invoices (as such). Instead, this area uses Charges, Credits and Statements. A charge is similar to an invoice line item in the TASS.web system. When creating charges, the transactions on the parent account will include appropriate comments such as 'Book Hire DD/MM/YYYY - DD/MM/YYYY' or 'Equipment Hire DD/MM/YYYY - DD/MM/YYYY' to identify the nature of the charge. To create a charge for a parent account in the TASS.web system, you can use several methods depending on the type of charge you need to process.

  • For equipment hire charges, you can use the ‘Post Charges to Parent Accounts' program in TASS.web Student Admin > Equipment Hire > Special Processes, which will create a single charge on the parent ledger for each student who has equipment hire charges. This program consolidates any un-posted hire transactions and creates a charge on the parent account using the fee code set up in the 'Equipment Hire Setup’ program.

  • Similarly, for book hire charges, the ‘Post Charges to Parent Accounts' program in TASS.web Student Admin > Book Hire > Special Processes will create a single charge on the parent ledger for each student with book hire charges. This program also consolidates un-posted hire transactions and creates a charge using the fee code specified in 'Book Hire Setup’ program.

  • You can also add charges directly to the Parent Account using the ‘Charges & Credits’, ‘Bulk Charges and Credits’, ‘Upload Charges and Credits’ or ‘Automated Credit Apply’ programs in TASS.web Finance > Parent Accounts > Charges & Credits.

  • For enrolment deposits, you can distribute deposit monies against the balance owing on the parent account using TASS.web Finance > Parent Accounts > Student Deposit Refund > Apply Deposit Distribution.

  • Past Students are those who have left the school and have a ‘Date of Leaving’ in the past. These students may also have a Past Student record in TASS.web Student Admin > Past Students > Student Information > Past Students. The Past Student record can be used to track contact details and other information about a former student.

  • Future Students are those who have completed the enrollment process and have a Student Record but have a future Date of Entry.

Non-Current Students can be included in searches and reports by ticking the 'Non-Current Students' checkbox in the Additional Criteria section of student record selection screens. SAML provides a more secure and modern authentication method compared to traditional username/password combinations. It allows users to authenticate once with their identity provider and then access multiple applications without needing to log in again separately to each one.

If set up correctly, SAML will provide federated single sign-on for TASS products and portals. This means that users who have had their credentials already authenticated in another application can be automatically logged-into TASS 'products' without needing to re-enter their credentials. It also means that the logon experience plus all the facilities for password protection, procedures and maintenance are handled by the respective Identity Provider.

When SSO is configured, users authenticate once with their organisation's identity provider (such as Microsoft Azure AD, Google Workspace, or other SAML-compliant providers), and then they can access TASS.web, Staff Kiosk, Parent Lounge/Parent Orbit, and Student Café without entering their credentials again for each application.

Single Touch Payroll

STP
