How to Setup Paycodes for FTE Statistics

1. Paycode setup and maintenance is done using program Payroll > Setup Information > Payroll Setup on the 'Paycodes'.  Use the 'Edit' link to access each paycode's details.

Tip! On the 'Paycodes' tab, click the 'Print' icon and select 'Tax Flag' and 'Rate Code' from the 'Additional Fields' list.  Click the 'Go' button.  Use this report to review the setup of your paycodes (refer to Step 2 below).

2.  The paycodes that will be included in FTE (Full Time Equivalent) calculations must meet the following criteria:

  • The 'Rate Code' field must have one of the following:
    - Get Rate Code from Employee (Blank Code)
    1 - Description from 'Rate Codes' tab (eg: Ord)
    2 - Description from 'Rate Codes' tab (eg: Casual)
    3 - Description from 'Rate Codes' tab (eg: Unused)
    4 - Description from 'Rate Codes' tab (eg: Unused)

  • The 'Tax Equation Flag' field must have one of the following:

    • B = Before Tax – Subject to PAYG Tax

    • b = Before Tax – Not taxed automatically

  • Must belong to any 'Group' except 'OTH'.  This is entered in the 'Group' field.

3. Once you have checked that the paycodes' setup is correct for FTE calculations, check the next pay run edit list for FTE statistics.

This is produces during a pay run using program Payroll > Pay Run Preparation > Edit Listing.  The 'Include Payroll Statistics' box needs to be checked.

Tip! Once you have completed a few pay runs with correct FTE calculations you can access the statistics from a previous pay run by using program Payroll > Pay Run Preparation > Edit Listing and clicking on the 'History' button.
